**Responsibilities**:
- Manage password management system:
- Add new team members and ensure access to necessary passwords.
- Update LastPass subscription to facilitate seamless password sharing.
- Maintain Wrike:
- Add new team members and oversee task management.
- Administer Breathe HR:
- Set up new starters and manage employee data.
- Coordinate monthly reminders for expenses and HR submissions.
- Coordinate Office and IT Logistics:
- Order and manage office and IT equipment.
- Maintain an up-to-date inventory tracker within Breathe HR.
- Schedule and Calendar Management:
- Arrange meetings and manage calendars for the Head of Creative and Marketing Director.
- Inbox Management:
- Meeting Support:
- Prepare meeting notes and minutes when required.
- Create agendas for marketing and design team meetings.
- Organise Quarterly Update Meetings:
- Remind team members to submit slides.
- Collate slides for presentations.
- Event Coordination:
- Order food for in-office meetings and assist with restaurant reservations for client meetings.
- Assist with Special Projects:
- Support with Christmas party planning and company weekend away.
- Coordinate weekend attendance and travel arrangements.
- Marketing Asset Oversight:
- Ensure approval of Creative Pod marketing assets before dissemination.
- Coordinate Special Events and Orders:
- Arrange Company Christmas cards, Employee Appreciation Day orders, Birthday card orders, and Team present orders.
- Source Quotes for Merchandise and Print Materials when required.
**Person Specification**:
- Tech-savvy with proficiency in digital tools and platforms.
- 1-2 years of experience in a similar role.
- Self-starter with a positive attitude.
- Excellent communication and influencing skills.
- Outstanding organisational skills and ability to multitask in a fast-paced environment.
- Adaptable writing skills for different audiences.
- Thoroughness, accuracy, and attention to detail.
- Experience in relationship development and managing inquiries.
- Critical thinking combined with a creative mindset.
- Disciplined, organised, yet flexible and responsive.
- Great team player with the ability to work independently and collaboratively.
- Ability to thrive under pressure.
- Possession of a full valid UK driver's licence.
