The Spires Cleft Centre is a twin site centre, based at hub sites in Oxford and Salisbury. The service was implemented in April 2004 and provides a comprehensive specialist cleft lip and palate service to the population of West Sussex, Hampshire, Dorset, Northamptonshire, Wiltshire, Oxfordshire, Berkshire and Buckinghamshire.

To play a key role in the development, management and co-ordination of the multi-disciplinary Cleft Lip and Palate service, ensuring the delivery of co-ordinated and timely care for children referred to the multi-disciplinary Cleft Lip and Palate Team on twin hub site and with spoke services. To ensure that robust lines of communication are in place within the team and between the hubs and spokes. To take a strategic role in service planning and development and the on-going development of tailored databases of patient management and care. He/she will manage the administrative staff and monitor the budget.

Specialist Surgery is one of the Directorates that makes up NOTSSCaN Division within Oxford University Hospitals NHS Foundation Trust Specialist Surgery covers Ear Nose and Throat, Plastic Surgery, Oral and Maxillofacial Surgery, Vascular Surgery and Head & Neck Unit.

To play a key role in the development, management and co-ordination of the multi-disciplinary Cleft Lip and Palate service, ensuring the delivery of co-ordinated and timely care for children referred to the multi-disciplinary Cleft Lip and Palate Team on twin hub site and with spoke services. To ensure that robust lines of communication are in place within the team and between the hubs and spokes. To take a strategic role in service planning and development and the on-going development of tailored databases of patient management and care. He/she will manage the administrative staff and monitor the budget.

**Responsibilities**:

- To co-ordinate the Oxford Cleft Lip and Palate service ensuring the delivery of high quality, timely, child and family focused care within the centre.
- To use own judgement and experience to deal with any, often sensitive and complex issues which may arise from patients, relatives and staff.
- To ensure the effective provision of a comprehensive and high quality administrative support service to members of the Cleft Lip and Palate Team.
- To be responsible for the overall management of administration staff within the unit including recruitment, appraisal, career development, discipline and work evaluation.
- To manage the Cleft Lip & Palate admin budget, including correct procedure for travel requests, purchasing equipment and supplies etc.
- To be responsible for planning own workload using judgement and experience to prioritise projects and tasks and set the work of the staff within the team.
- To be responsible for the development and on-going enhancement of the shared databases, and the accurate and timely recording of data prior to and following each clinic.
- To assess quality standards of service against clinical specification in conjunction with the Cleft Lip and Palate Team.
- To ensure that the Cleft Lip and Palate team participate in the Trusts Clinical Governance initiatives, providing information for the Directorate quarterly quality report and assisting in the investigation and reporting on patient complaints.
- To oversee and manage multi-disciplinary Cleft Lip and Palate clinics ensuring the necessary support staff, services and facilities are in place.
- To establish effective working links with the other key providers (Wexham Park, Stoke Mandeville, Swindon and Milton Keynes) including the clinical nurse specialists and service providers at the spoke units.
- To manage outpatient and inpatient waiting lists and ensure a co-ordinated approach to appointment scheduling, both with multi-disciplinary and single speciality clinics, and manage waiting lists for surgery in line with the Trusts modernisation agenda.
- To ensure that Trust Performance indicators are met and maintained. Ensuring that Cleft KPI standards are followed and submitted quarterly to NHS England dashboards within strict deadlines and reviewing submissions prior to publication.
- Be the departmental contact in line with service changes for submission of clinic templates and where necessary arranging amendments to deliver service provision
- To organise and run team meetings and team away days ensuring meeting papers are available and that follow
