We are looking for a professional, efficient and outgoing receptionist, who enjoys interaction with a wide range of people, for the very busy reception of South Western Ambulance Service NHS Foundation Trust (SWASFT).
The receptionist will be responsible for answering all incoming telephone calls and assisting visitors to Trust headquarters. The post holder will be required to multi-task in order to provide an efficient and flexible administrative role. This will include managing various bookings and dealing with all incoming post as well as co-ordinating and dispatching all Trust outbound post.
This role is offered on a part-time basis Monday to Wednesday 9am to 5pm, however flexible hours across the 3 days can be considered on request.
SWASFT can be fast moving with ever-changing priorities, so the post holder is expected to have an agile approach to work, be self-motivated and highly productive, take pride in their own work, and be used to working in a fast-paced environment.
To answer all incoming and internal calls using the Trust switch board system in a professional, efficient and polite manner. This includes the door entry system.
Ensure all visitors to the Trust, in line with written procedures, are issued visitor passes. Provide a professional and polite ‘Meet and Greet’ service.
Frank and despatch all outbound mail for Trust Headquarters including the preparation of recorded, special or air mail post.
Ensure signed-for mail reaches the person addressed and log appropriately as signed and received.
Manage the reception area ensuring the area is kept tidy and that appropriate information is kept up to date, stocked and correctly posted.
When required, provide cover for the PA office e.g. taking messages, passing on appropriate information or recording accurate information from callers.
