Established in 2017, EMSOL’s mission is to help our customers take steps every day to make a lasting difference in reducing transport pollution. EMSOL installs air and noise quality monitors, along with camera technology at your facilities.
As a dynamic startup, our team is small, motivated, hugely talented and passionate about what we do.
To support our growth, we’re looking for a smart, super-organised and experienced business professional to work closely with our entrepreneur founder as his PA. This is a varied role as you will also support him with another business - environmental cleantech. Ideally, you’ll be located in SW London (Wandsworth/Clapham/Battersea/Wimbledon), and initially you’ll work from home, but happy to have regular catch ups with the Founder.
This role will suit you if you are an experienced, energetic and approachable start-up PA and you’ve supported entrepreneurs in a similar environment previously. You MUST have some basic Finance experience, credit control, invoice management and general financial query management.
You’ll be proactive, responsible and experienced in a wide range of business functions. The culture and mindset of the founder and the business is based on evolving start-up to scale-up mentality, and so there will be many learning opportunities in terms of technology, systems and processes. You’ll be friendly, systems savvy and great at communicating at all levels.
As our Founder’s PA, you’ll work in a multi-faceted role, dealing with confidential matters, and you’ll be his sounding board when necessary. You’ll deal with banks, Companies House and our Enterprise clients, as well as other external and internal stakeholders.
**Your responsibilities will include**:
- CEO and SMT support, including general office administration and diary management.
- Basic bookkeeping (Xero), credit control, budget and expenditure monitoring, VAT returns and ideally running the monthly payroll (Xero).
- Sales Support including invoice management and dealing with admin/financial customer queries;
- Related administrative tasks on all things corresponding to HMRC (PAYE & VAT), British Business Banks (investor), Companies House (PSC reports & EMI notices, valuation requests etc)
- Shareholder communications including: share & EIS certificates admin & periodic communications.
- Working with the SLT to provide data for month end accounting and relevant monthly reports.
- Company KPI monitoring, you’ll work with our CEO to ensure he is constantly up to date with business metrics and critical timelines.
- Support with submission of documents to Companies House, HMRC, and British Business Bank
- Updating EMI platform
- Communications to support fundraising rounds,
- Supporting our CEO with similar activities in other businesses as and when required.
- Implementation of admin processes as required.
**About You**
- Demonstrable experience of the workplace and business operations and an understanding of the CEO office and the roles and responsibility associated with senior level business leadership.
- You MUST have supported an entrepreneurial CEO/Founder.
- Book-keeping experience ideally, otherwise a good understanding of business finance and willingness to learn and own the bookkeeping and basic finance function. Prior knowledge and use of Xero would be ideal.
- A highly organised mindset, adept at multitasking and meeting tight deadlines.
- Experience in supporting senior executives, ideally at Board level, within a small business.
- Experience in diary management for more than one individual.
- Strong MS Office (including Excel) and Gsuite skills, plus experience of Slack.
- Extremely strong attention to detail.
- With a flexible, committed approach, you’ll be happy to problem solve when needed.
- Prior experience in organising trade shows and other events.
