Administration & Governance Services Officer

We are looking for an enthusiastic and friendly Administration & Governance Services Officer to provide a high standard of administration support to the Head of Administration and
Governance Services and generic administration support to the Senior Leadership Team. To deputise for the Head of Administration and Governance Services during times of absence.

**Main Duties**
- To deputise for the Head of Administration and Governance Services and cover all key duties

as required, to include administration to the Board.- To assist with the formatting and preparation of meeting documentation and to take minutes

of meetings as required to include Board/Committee meetings.- To process all paperwork, information and computer data entry as required by Head of

Administration and Governance Services.- To support the Data Protection Officer with responsibility for GDPR activities.
- To support with updating and uploading policies and procedures to shared drives and

communicate updates across organization.- To assist in ensuring a consistent approach to administration across the organisation.
- To update centralised archiving register and assist with archiving operations on a regular basis.
- To coordinate the updating of the strategy work.
- To provide peripatetic Care Home Administration cover by exception.
- To be responsible for the administration and day to day operations of car parking at Methold

House, including liaising with internal and external customers, visitors and local residents.- To be responsible for central ordering of supplies (to include stationery, tea, coffee).
- To be responsible for the post room and for the efficient handling of incoming and outgoing

post.- To cover Methold House Reception when required.
- To maintain and update any computer systems, databases and spreadsheets as required,

providing forecasts and analysis as necessary.- To provide a good responsive service to all internal and external customers.
- To communicate effectively with staff and people using our services so that they feel valued,

supported and engaged.- To continue to update their own skills to ensure continuous improvement within the role.
- To be professional and credible when representing Guild Care.
- To attend any appropriate staff meetings, training sessions, etc.
- To undertake any reasonable related duties as requested by Head of Administration and Governance Services.

**Job Requirements**

**Essential**

Excellent communication skills including written and verbal
- Excellent IT and computer skills, competent at using Microsoft
Office suite (Word, Excel, PowerPoint) & Microsoft Office 365
(SharePoint)
- Experience of minute taking
- Office and administration experience
- Strong organisational skills with the ability to manage tasks
simultaneously
- Able to deliver on deadlines, maintaining accuracy and attention
to detail
- The ability to maintain confidentiality at all times
- A team player with the ability to work independently
- The post holder must be able to provide a satisfactory Disclosure
and Barring Service check

**Desirable**
- Experience of Charity Board/Governance Administration
