**Job summary**:
This is an exciting opportunity to be part of a busy & dynamic HR team as we transition from operating as a MOD (Ministry Of Defence) Agency to join DE&S (Defence, Equipment and Support). You will play a key role in delivering an efficient HR service as we adapt to new ways of working and support all areas of the business as we develop and grow.

**Job description**:
This role is an integral part of a small HR Team, providing administrative support to assist in the effective delivery of Human Resources (HR) services to employees, managers and other stakeholders.

To ensure compliance with HR policies and process. Monitor and ensure that instances of non-compliance are addressed and if necessary escalate to line manager.

Roles and Responsibilities include:

- Administration of recruitment campaigns, including pre-employment checks and onboarding
- Updating the personnel management system and time and attendance management system, notification to relevant areas of the Business and informing pay provider
- Reporting and transfer of all pay related information to pay provider
- Produce standard correspondence using letter templates
- Extract basic management information reports from HR systems
- Arrange medical referrals for employees via external Occupational Health Provider
- Maintain personnel files in both electronic and paper format
- Take meeting notes and producing minutes
- Respond to general HR queries (internal and external) and escalate when necessary.
- The role is mainly desk based
- Occasional travel to Stafford site may be required
- Personnel files are maintained in a storage unit, which requires the use of kick stools and movable steps to reach the higher levels which are above head height. Lower levels also require bending

**Person specification**:
You will require effective communication and strong interpersonal skills, to engage with stakeholders and customers using a variety of communication channels.

A proactive approach is needed, taking ownership of tasks and making effective decisions to prioritise workload to deliver a quality service. Experience of working at pace in a busy office environment would be beneficial.

Show enthusiasm for your work and take personal accountability for your role ensuring consistent attention to detail. Be proactive in recognising and suggesting opportunities for continuous improvement of work processes.

Due to the confidential nature of HR roles, professionalism, tact and discretion must be demonstrated at all times.

Essential Criteria:

- Highly numerate and articulate with GCSE Maths (Minimum of Level C/4) and GCSE English Language (Minimum of Level C/4), or suitable administrative experience
- Good communication skills including verbal, written and listening
- The post holder should be customer focused and have a high level of attention to detail
- Proficient in basic mathematics and analysis/manipulation of data

- Previous experience of working in a HR environment
- Working within a Team
- Ability to interpret HR policies and processes
