**Post: Receptionist & Events Co-Ordinator**

Overview: The role will involve providing a warm and welcoming first point of contact for all visitors to the Trust offices. You will be responsible for the day-to-day management of events and main reception areas, whilst providing administrative support appropriate with this role.

**Salary**: Grade 4 SCP 4-5. Starting salary £18459.00 (FTE £21189.33)

Contract Type: 8.00am - 4.00pm Monday to Friday, term time only plus 5 days (37 hours per week. 38 weeks per year plus 5 INSET days)

Location: South Pennine Academies Business and Training Centre, The

Gateway, Lowfields Industrial Estate, Elland, HX5 9DL, with potential travel

across our Trust.

Reports To: Executive Assistant to the CEO

Accountable To: CEO and Directors

**The Role**

To provide support across a range of duties which will include but will not be limited to general receptionist duties.

**Main duties**:

- Facilitate meetings both face to face and virtually, including setting up of meeting rooms including refreshments and tidying up.
- Arrange refreshments/lunch for meetings and events.
- Book CPD courses when required and assist with travel/hotel bookings.
- Assist in responding and resolving routine telephone enquiries appropriately - this may involve signposting to other staff.
- Screen and distribute all incoming post.
- Organise and maintaining the reception area/offices.
- Keep a stock of stationery and ordering basic office supplies.
- Support with catering for meetings and training events.
- Greet visitors to the facility warmly.
- Word Processing and data input as requested.
- Produce documents in the house style.
- Maintain refreshments and collation of monies for the central teams’ refreshments.
- Assist with collating data for the termly Business Leaders’ calendar.
- Assist with collating data for the annual Trust calendar.
- Offer administrative support to team members as required.
- Ensure shredding/disposing of confidential information which is no longer required by the central team in accordance with GDPR.

- Uphold the professional standards expected of every member of Trust staff in all dealings with colleagues, students, parents/carers and the wider community.
- Adhere to the principles expressed in the aims of the Trust.
- Actively contribute to the continued development of the central team by attending training, participating in relevant meetings, and putting forward ideas for improvement.
- Be a positive, collaborative team member.
- Keep up to date with all aspects of the safeguarding and child protection training as it applies to the post.
- Take responsibility for your own continued professional development.
- To deal courteously and efficiently with all staff who require support.
- Undertake job related training if required.
