**Vendor Admin Assistant - Production HR**

**Location**: London
**Length**:ASAP for 6-8 weeks
**Rate**: £23-26 p/h
**Hours**: 9am-6pm

**The Role (Duties & Responsibilities)**:
? Manage existing Vendor relationships, including approval of timesheets, submitting invoices, and actively ensuring feedback with vendors
? Research and source new Vendors across Europe, the Middle East and Africa, with the support of HR Leads, to fulfil Production HR operating model requirements in regions
? Manage new vendor onboarding, including training, contracting, introducing our client’s systems, and ensuring alignment with our client’s Culture
? Liaise with our client’s production teams, Vendors and Production companies to ensure the correct information and documentation are provided to production companies during onboarding;
? Receive and review production triage documents for each production across the region to assess the level of HR support required for each production
? Receive and assign production-related inquiries regarding crew/cast concerns; field to Prod HRBP
? Working alongside HRBPs to streamline and improve vendor workflows, and ensure cross-functional alignment across the EMEA region
? Coordinate, facilitate, track, and report on training for our client’s productions
? Liaise with Physical Production Coordinators to gather and collate information on upcoming production slates;
? Coordinate, facilitate, and conduct introduction meetings with new Production Companies / Partners, and other production-facing meetings where applicable
? Act as the main point of contact for Employee Assistance Program and production benefits questions, and inquiries across the region
? Assist with the understanding of local working practices (across EMEA), particularly in new territories for our client’s productions,
? Diary management - External diary coordination with vendors, productions, and cross-functional teams
? Assist with the coordination of investigations (where appropriate)

? Minimum of 3 years of work experience in a Human Resources Coordinator/Project Manager role
? Ability to work independently and also as part of a collaborative team;
? Will demonstrate tenacity, curiosity and initiative when problem-solving Excellent organisational, multi-tasking, and time-management skills;
? High ethical standards with demonstrated experience handling highly sensitive and
confidential information;
? Demonstrated ability to adapt and pivot quickly when faced with change in a fast-paced
environment.
? Effective oral and written communication skills; as well as Strong computer skills;
knowledge of Google Suite a plus
? Experience working directly with television and/or film production employees is a plus
? Experience working across time zones in a large, global organisation would be a benefit.
? Some travel may be required in this role
? Bachelor’s degree, a plus
