**Job Overview**
The post holder will be responsible for providing administrative support to the Head of Nursing for Older Adults and Specialist Services. You will use your first-class communication and organisational skills to deliver comprehensive, confidential, and expertadministration support to the OA&SS Divisional Director's PA and Hon This role will incorporate extensive liaison with external organisations including other NHS Trusts, Education providers, Regional and National NHS Organisations, Regulatory Bodies and otherpartners including Charities.
**Location**: Unither House, Curfew Bell Road, Chertsey, KT16 9FG
**Working Pattern**: 9am-5pm (37.5 hours per week)
**Band 4 Pay Rate**: £13:36
Duration: Ongoing
**Responsibilities**
- The post holder will be responsible for providing high quality, confidential and efficient administrative and secretarial service to the Head of Nursing of OASS Directorate and their leadership teams in a timely and professional manner.
- Support the Directors/Leadership team in their key internal and external relationships and in the pursuit of their objectives to enable them to effectively lead their services.
- To be the first point of contact for callers, managing internal and external enquiries, demonstrating a high degree of tact, diplomacy, and confidentiality in a range of formats, including verbally and through use of technology and re-directing these asappropriate.
- Utilise knowledge and understanding of professional administrative work procedures and practices to enhance the quality of the services provided. These include expert meeting management, filing and electronic storage of records, photocopying as appropriateand completion of statutory documents on behalf of the Directors/Leadership team.
- To provide high quality speedy and accurate typed information, including proof reading and amending reports and letters and ensuring compliance with corporate guidelines and that confidentiality is always maintained.
- Maintaining diaries drawing attention to the day to day commitments, organising appointments, meeting rooms and providing hospitality for these as required. This includes supporting/communicating with people who use services and carers to attend meetingsand/or events/interviews etc.
- Minute taking at Quality Assurance Divisional Meetings, Falls, and other meetings as required. Sending diary invites, preparing agendas, request reports, papers and distribution of all relevant documents within agreed timescales and in a timely manner,accurate and comprehensive transcribing of minutes and ensuring actions arising from the meeting are dealt with as appropriate.
- Responsible for managing own workload and to work independently or alongside the leadership team, using effective time management skills to deal with the day-to-day demands and troubleshoot problems using initiative to ensure duties are performed efficientlyand service standards are met. At times you will be required to cover meetings for Divisional Directors PA's.
- Liaising with other Directorates on behalf of the Divisional Directors PA and/or the Head of Nursing maximising organisational skills to ensure systems and processes are in place to stay on top of communications across this large portfolio of services.
- To be responsible for own VDU workplace assessment and health and safety surveillance.
- Monitor and raise purchase requisitions for stationery, services (such as interpreters) and supplies for the department
- Arranging clinic appointments
- **Experience required**_
- _High level administration experience (2- 4 years)_
- _Excellent communication skills._
- _Experience working in a team supporting others to deliver high quality work_
- _Good at taking minutes._
- _High level of responsibility and able to use their initiative, work autonomously and develop effective working relationships with a wide range of internal and external stakeholders._
- _Able to co-ordinate work effectively_
- **Qualifications required**_
- _NVQ Level 4 in Business Admin or equivalent _
