**Reporting To**

**Head of Human & Infrastructure Resources**

**Role Purpose**
- Manage the reception area, including answering and directing calls, greeting visitors with a friendly and professional demeanour, and maintaining a tidy and professional appearance
- Coordinate hospitality services, such as meeting bookings, arranging catering and refreshments for visitors and events
- Support planning and execution of company events with the team
- Support administrative tasks, such as:

- Managing mail and packages & maintaining office supplies
- Managing Employee ID Badges and Access Control
- Filling out and distributing Permit to Works for Contractors
- Record keeping of Permit to Work (PTW) & Risk Assessment Method Statements (RAMS) for audit purposes
- Facilities admin and record keeping
- Purchasing activity such as:

- New Vendor validation & approval process and upkeep of Vendor list
- Managing current relationships with vendors and suppliers, and resolving any issues or disputes that arise. Future growth opportunity to include negotiating pricing and terms of contracts
- Conducting research on products and services to support the HIR team decision-making process
- Ensuring timely procurement & tracking of office supplies, uniform, and other products
- Creation of purchase orders in accordance with established procedures
- Coordinating with other departments to ensure that purchase orders are properly fulfilled and received
- Inventory management
- Credit Card Purchases
- Preparation of reports/analysis related to purchasing/supplier/vendor activities
- Assist with special projects and other duties as assigned by management

**Knowledge, Skills & Experience**
- Capable of using a variety of software systems
- Proficiency in Microsoft Office & Microsoft Teams (Outlook, Excel & Word)
- Proven experience in at least 2 of these areas: reception, hospitality, and event planning
- Experience with purchasing, supplier/vendor management
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Ability to multitask and prioritise tasks

**Salary**: £25,000.00-£28,500.00 per year
