Advising Administrator

**Job Purpose**
To provide administrative support for the processes and procedures relating to the advising of students (on the two professionally accredited LLB programmes and on the LLM). To provide administrative support and advice, particularly in relation to MyCampus, progression and curriculum checks, to the Chief Adviser and the wider Advising team.
The role can be delivered either through fully on campus working, or through hybrid working i.e. combining on campus and at home working, with the pattern to be agreed with your line manager.
**Main Duties and Responsibilities**
1. Provide high quality administrative support to the Chief Adviser and wider Advising team, which includes Deputy Chief Advisers, all academic advisers (LLB and LLM programmes) and student support colleagues.
2. Manage the pre-registration support for new and returning students, including responsibility for organising group advising sessions and supporting the coordination of individual sessions.
3. Lead progression checks for returning students, designing and implementing system enhancements to support this work wherever possible.
4. Lead regular curriculum checks and reviews for all students, to ensure adherence to programme requirements, liaising with academic advisers as needed to proactively identify and resolve any problems.
5. Work closely with the Chief Adviser to ensure effective administration of returning students and the management of requests for recognition of prior learning, including for fast track students and students transferring from other universities.
6. Be the key point of contact for build, amendment and maintenance of programmes and plans on MyCampus.
7. Manage and respond to Adviser requests for MyCampus changes, logging and responding to requests within deadlines and notifying Advisers of completion.
8. Be an expert and give advice to colleagues on the maintenance of appropriate student files and information, adhering to all relevant legislation such as GDPR.
9. Gather and analyse data from MyCampus and other sources to support the Chief Adviser and wider advising team in reviewing academic advising and student support needs, and contribute to regular reporting on these topics.
10. Lead the initial assessment and “triage” of student enquiries, answer questions wherever possible and directing students to academic advisers, Student Support Officers or other specialists as appropriate.
11. Build good working relationships with advising support teams in other parts of the College of Social Sciences, sharing best practice and implementing policy and process improvements or changes where required and beneficial.
12. Other duties as directed by the Head of Professional Services (line manager) and requested by the Chief Adviser or advising team.
**Knowledge, Qualifications, Skills and Experience**

**Essential**:
A1 Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.
A2 Strong Microsoft Office knowledge, especially Word and Excel.
**Desirable**:
B1 Knowledge of the University of Glasgow systems, e.g., Moodle and PIP.
B2 Knowledge and understanding of the University of Glasgow structure, policies, practices and procedures, particularly in relation to degree regulations.

D1 Competence in MyCampus or other student records system.

E1 Relevant work experience in student support and evidence of growth and development within the role.
E2 Experience of working with a wide variety of colleagues and key contacts, both internal and external to your immediate team/department/organisation.
E3 Experience of organising events and promoting participation with key audiences.
**Desirable**:
F1 Experience within a higher education setting.
**Standard Terms and Conditions**
Salary will be on the Management, Professional and Administrative Grade, level 5, £23,715 - £27,929 per annum.
This post is full time (35 hours per week) and offered on an open ended basis.
New entrants to the University will be required to serve a probationary period of 6 months.
