**Job Purpose**:
The Administrative Assistant to Kingsbrook Parish Council will be responsible to the Clerk to the Council. The overall purpose of the role is to assist, support and provide cover for the Parish Clerk to the Council in all aspects of day-to-day management and operation of Council services.

**Duties and Responsibilities**:
1. To support the Parish Clerk in ensuring the smooth running of the Parish Council.

2. To deputise for the Clerk/Responsible Financial Officer at Council meetings, when required.

3. To take appropriate actions to implement Council resolutions.

4. To undertake ILCA and FILCA and other training courses as appropriate.

5. To deal with assigning incoming mail and maintaining appropriate records.

6. To deal with enquiries and issues arising from the pubic.

7. To assist with producing and publishing the Parish Council newsletter, updating the Council website and putting out social media posts in conjunction with the Social and Communications committee.

8. To assist with specific Council schemes, events and projects as requested.

9. To assist with the letting of allotments, including, but not limited to, maintaining the record of allotment holders, waiting list and sending out fee reminders.

10. To liaise with voluntary groups, other local Councils, and government departments agencies as appropriate.

11. To undertake any other reasonable tasks as directed by the Clerk to the Council or the Parish Council.

12. To assist with obtaining quotes, purchases and liaising with suppliers.

**General Duties**

1. To continue to acquire the necessary professional knowledge required for the efficient management of the affairs of the Council and to attend training courses or seminars on the Council’s activities as required by the Council.

2. To attend the Conference of the National Association of Local Councils, Society of Local Council Clerks, and other relevant bodies, as a representative of the Council as required.

3. To undertake such other duties commensurate with the level of the post and job purpose as required by the Council from time to time.

**SKILLS AND QUALIFICATIONS**

**Knowledge/qualifications**:
English/Maths - Minimum C grade GCSE or equivalent

Must undertake all necessary training - ILCA and FILCA, National Association of Local Councils/Society of Local Council Clerks.

**Skills**:
Management skills - Contractor management, co-ordinating responses from Councillors.

Communication skills - Strong verbal and written communication essential

Good people skills - Good customer focussed attitude, with the ability to deal with a variety of situations.

Problem-solving skills - Demonstrate initiative to solve problems as well anticipating them.

Meetings skills - Experience of protocols in meetings (training can be provided here) and taking minutes

Can work on own initiative - Carrying out research to provide advice, contribute to ideas/policies

Able to work under pressure - Must be able to meet deadlines

**Knowledge/qualifications**:
Some knowledge of local government - Previous experience at local government level

Some knowledge of the locality - Main issues affecting the area

Some knowledge of relevant Acts of Parliament - Local Government Acts, Data Protection, Freedom of Information, Employment Law

Some knowledge of the education sector - Experience with local school governance, education authority and interaction with schools

Willing to undertake professional training - ILCA, FILCA, CILCA

Some experience in purchasing - Liaise with suppliers to obtain quotes and raise purchase orders

**Skills**:
Creative - Able to contribute to the design of notices and newsletters

Presentation skills - Able to use equipment and speak in public

Car driver - Attendance at meetings and courses
