Job Summary: This position is a rotational role where you will be asked to perform in different role on a weekly basis. A team work ethic is crucial to the role.
The position is responsible for performing various administrative tasks, including answering telephones, giving information to employees/guests; be the first point of engagement with employees and visitors. Responsible for making a good first impression for the organization, which can affect
the organization's success. To ensure uphold CBRE host values and carefully stewarding customers through moments that matter, our Hosts are beholden to a series of Service Standards. These standards reflect core behaviours that our Hosts should embody in every interaction they have.

Essential Duties:

- To ensure that all clients / employees requests and inquiries are fulfilled and exceed expectations
- Assist and coordinate with scheduling conference rooms
- Conduct office wayfinding, lobby appearance, building tours
- Anticipate needs and help wherever possible
- Maintain neat appearance in the reception area, conference rooms, café, internal floors, and other common areas. Request building and housekeeping services as needed. Periodically inspect common areas equipment to ensure good operating condition
- Assists CBRE community with general administrative support including mail services, event management, desk booking, bike locker management, etc
- Assists with the CBRE community on-boarding process, including new employee orientation, training, workflow assistance and first-day orientation when requested

Site Specific:
Ground Floor Reception Duties
- To provide a world-class, client-facing front of house service
- To show a positive attitude, body language, and knowledge about the building and its surroundings
- Promptly and efficiently deal with telephone calls in a welcoming positive manner
- Monitor inbox
- Making sure that the reception area is clean and tidy at all times
- Liaise with the security and maintenance regarding the health and safety of the building and others
- Support visitors with Vpods and assist with any other visitor management requests
- Send room booking/food request confirmations to building users
- Help other team members if needed

Client Suite Reception Duties
- Provide a world-class customer service
- Assisting clients with their inquiries
- Making sure that IT equipment is in working condition
- Ensuring that the client suite is kept tidy, clean and that all consumables are replenished when used
- Prepare and deliver hospitality including tea / water / coffees
- Room set up / down
- Take charge of keeping pantry / storage room clean and tidy
- Keep a record of stock within client suit / pantry
- Manage cloakroom facility in space
- Fill in a daily check list related to maintenance and cleaning issues
- Help other team members if needed

Workplace Experience duties
- Ownership of office floors and the surrounding areas to ensure the best workplace experience is

met each day
- Embrace Host values
- Carry out daily floor checks from 07:00 onwards to ensure all areas are ready for the day
- Collaborating with IT, Maintenance, Cleaning, Helpdesk teams to ensure that issues are reported in line with procedures
- Manage stock control within the Copy Hubs
- Report health and safety hazards and raise tickets related to maintenance / IT
- Complete weekly / monthly tasks
- Assist the CBRE community with any daily requests and deal with them in a prompt manner
- Help other team members if need
- Uphold etiquettes of floor including Clear Desk Policy

Post Room Duties
- Monitor inbox
- Maintain contents of stationery cupboards
- In line with procedures provide courier service
- Deal with incoming / outgoing post / parcels
- Keep a track of outgoing letters / parcels
- In line with procedures make use of parcel lockers and notify building users
- Thought out the day provide mailroom service for the CBRE community
- Report any issues related to maintenance / cleaning
- Respond to ad hoc requests
- Help other team members if needed

Communication Skills:
Ability to comprehend and interpret instructions, short correspondence, and memos and task clarifying questions to ensure understanding. Ability to respond to common inquiries or complaints from clients, coworkers, and / or supervisor / manager. Ability to effectively present information to an internal department and / or large groups of employees.

Additional Skills:
Intermediate skills with Microsoft Office Suite products such as Word, Excel, PowerPoint, Visio, SharePoint, OneNote, Outlook, etc.
Results oriented - ability to achieve business goals, with a concern for working well, surpassing standards of excellence and passion for challenges.
Customer focused - develop strong customer relationships by listening to and satisfying customer needs.
Ability to establish clear, measurable goals, taking ownership of responsibilities and commitments.
