Resource Coordinator

Task of the Role.
Organisational
1.1 To provide advice to the Strategic Management Team and the Board of Trustees when required.
1.2 To assist in the training and development of staff by identifying areas for development.
1.3 To co-operate and participate in any formal investigation or hearing.
Service Specific
2.1 To Work with other managers within the organisation to provide a point of contact during office hours.
2.2 To ensure that the services conform with the quality standards and requirements of Independent Options, Care Quality Commission (CQC), supporting people, purchasers and other funding bodies.
2.3 To work within the budget set by the Board of Trustees/Finance to provide the best value service possible whilst meeting the needs/allocation of each service user.
Team Specific
3.1 To operate a duty system within central services, covering planned and unplanned staff absences.
3.2 To ensure all planned absences are covered within each of the properties.
3.3 To audit and monitor rotas on a daily basis to ensure all services are safely staffed.
3.4 To ensure that all rotas are managed in line with the service budgets.
3.5 To ensure that unplanned absences are sufficiently covered within all properties.
3.6 To participate in the safe recruitment of staff and the induction process of new staff.
3.7 To liaise with the HR department to arrange start dates and inductions for new employees.
3.8 To monitor employee sickness, ensuring that sickness documentation is received and providing a detailed report to the Registered Manager, HR and finance.
3.9 To ensure that a detailed handover is provided to the out of hours team each day.
3.10 To work with other managers within the organisation to provide a point of contact within office hours.
3.11 To deal with queries in relation to rota’s and resource management, transferring queries to the relevant manager/department.
3.12 To provide administration assistance when required.
3.13 To ensure that the services conform with the quality standards and requirements of Independent Options, Care Quality Commission (CQC), purchasers and other funding bodies.
3.14 To work within the budget set by the Board of Trustees/Finance to provide the best value service possible whilst meeting the needs/allocation of each service user.
3.15 To participate in covering the service rota for a number of Supported Living tenancies, including emergency shift cover when necessary. This may include covering staff shortages when alternative cover cannot be found.
3.16 To take a lead role in covering shifts during office hours and updating electronic rota to reflect the changes in shifts.
3.17 To be the main representative of the team, within office hours.
3.18 To assist the Managers in the implementation of the business plan for the teams.
3.19 To provide support and guidance for support staff, within office hours.
3.20 To provide day-to-day support for team members, within office hours.
3.21 To adhere to the organisations Finance Procedures.
3.22 To assist the Managers to liaise with the Care Quality Commission (CQC) when required.
3.23 To be aware and implement Health and Safety regulation and procedures.
3.24 To assist the Managers to liaise with relatives of service users when necessary.
3.25 To assist the Managers to respond positively and promptly to any complaints or feedback from service users, relatives or other agencies, outside of usual office hours.
Individual Specific
4.1. To adopt a flexible approach to working arrangements in order to support the team and meet the individual requirements of the service users.
4.2. To notify the Supported Living Manager of whereabouts where necessary and submit accurate timesheets and expense claims.
4.3. To accept and participate in supervision sessions and appropriate training programmes.
4.4. To identify own training and development needs in discussion with the line manager.
4.5. To carry out all work in a manner that is consistent with the aims and service principles of Independent Options.
4.6. To observe all written policies, procedures and guidelines for good practice agreed by Independent Options.
4.7. To maintain and up to date awareness of legislation and good practice related to the specific service group.
4.8. To work within the performance management system for Independent Options.
4.9. To follow guidance provided by the Strategic Management Team to provide services.
4.10. Any other duties as required by the Strategic Management Team and/or Board of Trustees.

Contract length: 3 months
**Salary**: £13.36 per hour
Expected hours: 37 per week
