We are looking to appoint a Full Time Theatre Scheduling Officer to be part of a team providing comprehensive, high quality organisational and administrative support to the Senior Management team in the Critical Care Service Division and the Theatre Department. This very challenging role will require a high level of professionalism.
Ideally with previous experience of working in a fast pace environment, the post-holder must have proven administration skills, be conscientious, meticulous and be able to work under pressure using their own initiative and judgement to prioritise to meet tight deadlines.
Supporting, coordinating and undertaking the Theatre Schedule in line with the Trusts policies and procedures by using administrative skills and own initiative to ensure the schedule is maintained and staffed in accordance to the needs of the department and clinical services. A working knowledge of a range of Microsoft tools is therefore essential.

The post holder will work closely with the Theatres Business Support Manager, to validating all theatre data to ensure accuracy is reflected in the day to day running of the theatre schedule, the operating lists and all adjustments that arise from the 6-4-2 Standard Operating Procedure. They will need to identify areas of non-compliance and working with the clinical teams to deliver 100% accuracy of theatre data.

The post-holder must be able to communicate effectively at all levels within the Trust, with patients and with external contacts, maintaining confidentiality at all times.

- To coordinate and facilitate the theatre schedule utilisation and productivity by managing the communication relating to theatre lists and when necessary escalating issues to the Theatre Business Support Manager as appropriate
- To produce reports on inpatient data, as required, from the PAS / Insight systems, highlighting any concerns to the Theatre Business Support Manager and the Theatre Management team
- To prepare for the weekly 6-4-2 planning meeting to maximise productivity and utilisation and escalate issues to the Theatre Business Support Manager and the Theatre Management team
- To monitor data quality on a daily basis and take any immediate action to ensure all information is entered in a timely fashion, and that the quality of data is to a high standard.
- To co-ordinate and support the Trust with the National Joint Registry and follow up any queries required in relation to patient information on all hip, knee, ankle, elbow and shoulder replacement operations and to ensure that the Trust is 100% compliant. Act as the point of contact for the National Joint Registry for the RNOH
- To prepare the daily operating lists to ensure that they are accurate and available to all of the relevant parties internal and external to the theatre environment
- To support the reception desk to provided excellent customer service for the theatre environment, including security access and all the duties this involves including call handling and face to face contact with staff and patients and monitoring external suppliers/representatives.
- To use a measure of independent judgement, including decisions on prioritising staffs’ needs whilst considering performance targets
- To provide cross-cover, as required, for absent administrative colleagues
