_**What is the role?**_

Working in the planning team is a fast-paced environment where you will need to be able to effectively plan and arrange appointments for responsive, planned and void repairs to the Association’s property portfolio.

This is a customer focused service where you will need to be pro-active in matching the needs of the customer to the service. To do this effectively you will need to identify obstacles in service provision in an environment where continual improvement is fundamental in how we deliver excellent services.

You will be supporting the trade team managers and trade operatives, learning to cross-skill all areas of trade undertaken by the repairs & servicing team in order to help to deliver great services.
- **What will you be doing here?**_
- You will be managing the delivery of the responsive & void repair appointments through telephone contact with trade team managers and operatives, ensuring allocation of jobs to trade colleagues and continuity of services and all appointed repairs.
- You will process follow ups, out-of-hours attendances and further work requirements and materials orders promptly, ensuring all issues are dealt with same day where possible or within 24 hours, contacting customers wherever possible to check their availability and suitability of proposed appointments.
- As part of the team, ensure the repairs and servicing achieve 100% compliance for annual gas safety checks/servicing and 100% for emergency light checks
- Investigate complaints referred by resolution team and provide sufficient evidence to allow formal responses to be composed for customers, liaising with trade team managers as required.
- You will assist in ensuring all required checks are undertaken on a monthly basis to all blocks of flats and results captured on the Northgate database.
- You will be looking ahead on the database and highlighting lack of trade availability to the assigned team leader.
- Monitor and look into Customer Satisfaction data.
- Ensure HSE forms are recorded and allocated to responsible person(s).
- Source quotations for sub-contractor works to achieve best price and raising purchase and works order via designated IT systems, advising nominated sub-contractor of any job-related risks, ensuring these are monitored for completion and post inspection to finalise the procurement process, including matching up invoices and returning parts.
- Liaise with system administrators to ensure that system problems are reported and resolved providing minimum disruption to services, taking screen shots of incidents to assist resolution.
- Record re-chargeable works information on the works order, checking that all queried events for your assigned trade team are verified with the attending operative and customers advised of proposed charges in advance of submission to Finance; providing evidence where necessary for charges challenged by customers.

- Demonstrable experience from previous work planning roles.
- IT literate, with experience of using Microsoft office packages.
- Experience of using planning and scheduling systems.

**Job Types**: Full-time, Fixed term contract
Contract length: 12 months

**Salary**: £27,000.00 per year
