People Solutions are working in partnership with their client based in Birmingham.

They are looking to recruit a Transport Administrator to start ASAP on a temporary to permanent basis.

You will be responsible or providing a comprehensive and effective administrative support service to the Transport Department

This includes the operation of a virtual helpdesk.

Hours of work - Monday to Friday 37.5 hours per week (from time to time you may be required to work outside of your area of responsibility and at an alternative location).

Salary - between £19,101 and £20,514

Day to Day Duties

Undertake all administrative duties including producing of letters, databases, spreadsheets and reports
Answering calls / enquiries, taking messages etc
Issuing and balancing petty cash in line with SFIs and Finance processes
Processing of invoices
Maintaining stock, obtaining quotations and placing orders
Reporting and issuing reactive work requests
Maintaining electronic diaries
Arrange meetings, distribute paperwork, make room bookings etc
Attend meetings, taking notes / minutes / action points - Typing up and distributing these
Collect and collate routine data and input onto spreadsheets
Assisting with producing monthly and quarterly dashboard reports
Maintaining and contributing to producing data
Communicate effectively with all personnel
Set up and maintain schedules for inspections
Receive deliveries on behalf of the department
Support the request / production of ID cards

Essential Skills

NVQ Business Administration level 2, RSA 3 and/or previous experience of secretarial / administrative work at a similar level
Evidence of working within an Office environment
Ability to work well under pressure and manage multiple tasks
Ability to plan, organise own workload
Good telephone manner, taking messages accurately
To be able to undertake the taking of notes / minutes of meetings
Competent use of MS Office Skills,
Ability to use IT packages
Ability to communicate effectively at all levels
Professional, courteous, reliable, honest and enthusiastic
To work flexibly, to travel / work between sites
Problem solver

Desirable Experience

NVQ Business Administration level 3, ECDL, Customer Care Training
