Office Administrator/receptionist

We have exciting opportunities at our award winning roofing company based in Harlow, Essex for a new **Office Administrator/Receptionist** This is an office role based in Harlow
Responsible for the day-to-day running of the Contour office, answer all initial telephone enquiries, ordering of office supplies, and all general office administration such as managing cars and vans, training, holiday and sickness trackers. The role also includes being responsible for all staff training and maintenance.
**Reponsibilities**
- To be designated reception for the Contour office
- To answer all 1st line telephone and yard enquires and triage to the appropriate individual
- To order all office supplies
- All general office administration
- Monitoring and ordering of all required PPE
- Managing all aspects of training both for office and roofers
- To ensure all employee and subcontractor details are up to date including any certifications and training e.g. working at hights, CSCS card etc
- To manage all Contour owned or hired vehicles. This includes, but not limited to, ensuring all vehicles are taxed, have a valid MOT, charges are paid and recouped from drivers, fuel card spending, all insurances are up to date, and booking in services
- To ensure all building certificates, services and required legislation is kept up to date. This includes, but not limited to, fire alarm checks, fire extinguisher checks, health and safety reviews, boiler checks, PAT testing, Gas & Electricity bills
- To manage the and monitor staff holiday and sickness trackers and notifying of issues/clashes
- Management of all current and new apprentices
- Management of all maintenance works including the scheduling of jobs, agreeing works with the customer and maintenance operatives
- Chasing maintenance payments
- Supporting all office staff where required
- To be proactive, helpful, and positive at all times
- To conduct yourself in a polite and professional manner at all times
- To ask for support and/or help where required to ensure all tasks are completed
- To escalate any important issues with to Directors as soon as possible

- Competent answering the phone and liasing with customers and suppliers
- Outgoing, friendly personality and a 'can do' attitude
- Microsoft skills including Microsoft Excel
- Not be afraid to push back
- Ability to communicate effectively verbally and establish relationships through strong interpersonal skills
- Honesty, reliability, good communication skills, team player are the key skills
