The primary focus for the EA is to enhance the CDIO’s effectiveness.

The post-holder works closely with the CDIO and other senior managers, both within Digital and across the Trust.

Provide a comprehensive and confidential administrative service to the CDIO and, as required, to other members of the GHFT Executive team. This will include the co-ordination of diaries, meetings, minute-taking and preparation of meeting papers, e: filing, correspondence and maintenance of shared electronic records.

Work closely with the CDIO to support the prioritisation and planning of workloads and ensuring they receive appropriate and thorough information in a timely fashion.

Support the Governance & Business Lead with any adhoc duties to support the service.

The Digital team leads on an ambitious programme of work, delivering digital transformation across the organisation and supporting core delivery across all hospital sites and remote-working. Teams within Digital include CITS (Countywide IT Services), Business Intelligence, Clinical Coding, Clinical Systems & Integration, EPR, Information Governance, Health Records and Clinic Preparation, Training and the Programme Management Office.

Ensure competent and accurate preparation of letters, reports, documents and presentations.

Ensure effective systems are in place to manage and prioritise correspondence to and from the office, including timely responses and acknowledgments.

Support the CDIO in organising and co-ordinating meetings as required, including drafting agendas, preparing and circulating papers, taking minutes and maintaining reporting schedules.

Communicate courteously and sensitively with a wide range of internal and external stakeholders.

Maintain an awareness of developments and new NHS initiatives which impact upon the direction of the Trust and the CDIO’s responsibilities.

Deal with diverse and complex issues, acting on own initiative in problem solving and crisis resolution, ensuring that problems are resolved diplomatically. Proactively review workload and flag where conflicts may arise.

Work under minimum supervision and at pace, assisting other members of the Executive support team, sharing workload and providing cover for leave or other absences where necessary. Provide supervision of, and guidance to, junior and temporary support staff.

Maintain the highest standards of confidentiality when dealing with sensitive information, including information relating to patients or staff.

Prioritise own workload, resolving conflicting diary appointments. Exercise judgement when dealing with senior management or external contacts.
