The post-holder will assist and work closely with the CDIO and Associate CIO, IG and Health Records (DPO), providing high quality and effective administrative support.

The post-holder will also play an integral role in supporting and administering governance and business activities for the Corporate Digital and Information team, working closely with other senior managers, both within the Digital and Information service line and across the Trust, and ensuring effective communication between internal and external colleagues.

The post-holder will support the Information Governance, Data Protection and Risk Management and wider governance processes within the Digital Directorate.

**To be successful, you will have**:

- Significant experience in providing high-quality administrative support, working closely with Chief Officers and Directors
- Knowledge of the full range of administrative and organisational policies and procedures acquired through training and relevant experience
- Experience of supporting and administering governance policies and procedures
- Exceptional communication and interpersonal skills
- Effective stakeholder management skills

- Provide a comprehensive and confidential administrative service to the CDIO, Associate CIO, IG and Health Records (DPO) and, as required, to other members of the Digital Senior Leadership team. This will include the co-ordination of diaries, meetings, minute taking and preparation of meeting papers, e: filing, correspondence and maintenance of shared electronic records
- Support the administration of the Information Governance, Data Protection, Risk Management and wider Digital Governance processes ensuring robust oversight of incoming requests and queries with escalation as required
- Support the prioritisation and planning of workloads and ensure that appropriate and thorough information is received in a timely fashion
- Ensure competent and accurate preparation of letters, reports, documents and presentations
- Ensure effective systems are in place to manage and prioritise correspondence to and from the office, including timely responses and acknowledgments
- Develop and implement effective systems and strategies to manage the activities, workload and efficient use of time of the CDIO and Associate CIO, IG and Health Records (DPO)
- Support the organising and co-ordinating meetings as required, including drafting agendas, preparing and circulating papers, taking minutes and maintaining reporting schedules
- Communicate courteously and sensitively with a wide range of internal and external stakeholders
- Maintain an awareness of developments and new NHS initiatives which impact upon the direction of the Trust and the CDIO’s responsibilities
- Deal with diverse and complex issues, acting on own initiative in problem solving and crisis resolution, ensuring that problems are resolved diplomatically. Proactively review workload and flag where conflicts may arise
- Work under minimum supervision and at pace, assisting other members of the Digital Senior Leadership team supporting roles, sharing workload and providing cover for leave or other absences where necessary. Provide supervision of, and guidance to, junior and temporary support staff
- Maintain the highest standards of confidentiality when dealing with sensitive information, including information relating to patients or staff
- Prioritise own workload, resolving conflicting diary appointments. Exercise judgement when dealing with senior management or external contacts
- Support the Governance & Business Lead with any ad hoc duties to support the service.
