We are looking for an Admin Assistant to join Papier’s fun and fast paced Buying team. Reporting into the Junior Buyer and working closely with a wide range departments across the business to launch our beautiful products on time. You will be a key part of the foundation for the team to ensure the department runs smoothly.

We’re looking for someone who is organised, can multi-task and be agile, as well as someone who is incredibly proactive with a can-do attitude to join our friendly team.

**You’ll be responsible for**:
Administrative Support & Processes:
- Responsible for a range of admin tasks under the guidance of the Senior Buyer / Buyer. Including barcode & carton label approvals, raising SKU’s and PO’s & inputting system information.
- Full understanding and management of Netsuite & internal wholesale systems.
- Managing excel sheets and maintaining accuracy to a high level
- Working closely with Buying, Design and VM teams to file and submit relevant artwork files for orders.
- Responsible for creating & updating the ‘How-To’s’ and training new team members on Papier’s processes & systems
- Sample management in the London office - making sure space is kept tidy & clearly labeled. Manage sample process for photoshoots.
- Organising parcels to be sent for Buying & Design teams. Also keeping track of sample arrivals into the office and ensuring invoices are filed and added to trackers.
**Critical Path Management**:
- Responsible for monitoring the key dates within the critical path, ensuring deadlines are met and we are tracking on time. Ensuring all issues or delays are communicated clearly and promptly.
- Work closely with our Merchandising and Operations teams to ensure stock is delivered on time and adheres to our delivery requirements.
- Responsible for leading bi-weekly communication around NPD projects - escalating issues to the Buying & Merch team where necessary.
- Using Planning tools such as notion to keep timelines of projects up to date weekly at each stage of the Critical path.
- Communicating with factories/printers around samples and delivery dates..
**Product Development Admin**:
- Assist with product development processes, supporting the Buyers with supplier feedback and sample comments. As well as keeping workbook documents up to date with comments.
- Note taking in sign off and trade meetings.
- Completing regular competitor shops when requested by the team for both UK and US markets.
**Requirements**:
You have experience in an administrative role in a fast moving environment would be ideal.

- You proactively find ways to keep the wider team in the loop on what you’re working on
- You’re confident working cross-functionally, managing upwards and influencing key stakeholders
- You have very clear written and verbal communication.
