**Learning Support & Administrative Officer**

As a Learning Support & Administrative Officer you will play a key role in ensuring that our apprenticeships are compliant with our regulatory bodies and that apprentices feel supported throughout their journey with us.

**Role Summary**
- Provide support to trainers to ensure that the courses and programmes are delivered to an exceptional standard
- To coordinate the registration and administration of learners enrolled onto Oxford Professional Education apprenticeship training programmes as required
- To coordinate the smooth progression of apprentices throughout their training programme, from initial enquiry to End Point Assessment (EPA)
- Provide additional Coaching Sessions where needed to vulnerable apprentices or apprentices at risk to ensure progress is timely and actions are completed.
- To arrange pre-enrolment processes such as initial assessment tests, complete learner funding eligibility checks, off the job training monitoring and calculations
- Producing, collating and collecting learner and employer documentation.

**Key Responsibilities**

Customer focused and proactive, your key responsibilities will include:

- Administer exam bookings, course bookings for Functional skills and EPA registration and booking.
- Administer and collate learner and employer evaluation systems and analysis.
- Attend tripartite three-monthly progress reviews to ensure that the apprentice is on track and offer support with any associated pastoral needs
- Be responsible for the onboarding process to include scheduling timetables, registers, enrolling onto different platforms, ordering study guides and confirming professional memberships
- Liaise with trainers to schedule timetables for the sessions of the learners, create the joining instructions and ensure the apprentices receive this.
- Support co-ordination of any Interventions needed for Apprentices
- To support the Business Development team with outgoing communications
- Monitoring of learner journal submissions, monitoring scorecard completion and review, monitoring of allocated One File course completion, monitoring of attendance targets and Off-The-Job log submissions/categorisation with the assistance of the trainer through their 1-1 visit responsibilities
- Reporting on auditing to team to action, allow intervention, escalation as appropriate
- Oversee the ACE360 platform containing relevant details for the End Point Assessment organisation.
- Ensure this is up-to-date and upload learner evidence for Gateway submission.
- Compliance check Gateway submissions
- Produce enrichment activities, monthly newsletters and calendar of events against required elements, incorporating enrichment pieces identified by Learning Coaches as a need
- Collaborate with Wellbeing Team for guidance on enrichment articles
- Report any safeguarding, wellbeing or learner concerns to the Safeguarding Lead.

**Skills & Experience**

Some of the key attributes we look for include:

- 3 years’ experience within an administrative environment
- Experience of working in an educational establishment would be desirable but not essential
- Detail oriented, task focused with an emphasis on getting things right on time, first time
- Excellent communication skills when working with colleagues, customers, learners and trainers
- Professional, courteous, passionate, flexible, pragmatic, personable with a confident, ‘can do’ attitude
- Innovative, inspiring, incisive individual who works with integrity
