**The Role**
Our Receptionists are often the first point of contact for both current and prospective clients so maintaining a professional and friendly manner is essential as this role involves dealing with people at all levels.
Core duties and responsibilities will include:
- Greeting clients and visitors warmly and professionally.
- Answering incoming telephone calls promptly and professionally, in a friendly and confident manner, and directing them to the appropriate person in a timely fashion.
- Assisting with the processing of both incoming and outgoing mail and packages.
- Scheduling appointments and the allocation of meeting rooms.
- Keeping the reception area and client meeting rooms clean and tidy at all times.
- Assisting with administrative tasks as required, including photocopying and scanning of legal documents and client I.D.
- Diary management.
- Managing the allocation of parking spaces available at the Torquay office.
- Being the firm’s initial point of contact for its ‘Live Chat’ facility.
- Monitoring stationery supplies.
- Ensuring clients’ needs are anticipated and prioritised at all times and proactively seeking ways to improve client satisfaction.
It is a given that our Receptionists will be respectful and courteous in all their dealings with both staff and clients and will uphold the need for confidentiality and discretion at all times.
**Who You Are**
Your role as a Receptionist is key to the delivery of exceptional service across our firm which will instil trust and reliability during every interaction with our clients. Therefore, previous experience of working at this level either in another law firm or professional services organisation would be a distinct advantage although not essential, providing you have enthusiasm and a willingness to learn and develop your knowledge and experience in this particular sector.
You will be a first-class administrator and a strong team player who is committed to providing the best possible reception and telephony service to colleagues and clients across our four offices.
You will:
- Have excellent written and verbal communication skills and will be articulate and able to communicate clearly, concisely and without jargon.
- Have experience of working with a variety of business software packages and a good working knowledge of Microsoft Office, including Word, Excel and Outlook.
- Have exceptional time management skills and an ability to manage several projects simultaneously.
- Have the ability to work on your own initiative and under pressure, whilst maintaining a thorough, organised and methodical approach to your work.
- Have a “can do”, helpful and proactive attitude.
- Be flexible and adaptable when necessary.
- Be confident, comfortable and calm in communicating with a variety of individuals at all levels.
- Have a professional approach to your work at all times.
- Have excellent customer service skills.
- Be a courteous, conscientious and considerate team player with a warm and hospitable nature.
- Be of smart appearance and well-groomed.
**Job Types**: Full-time, Part-time, Permanent
Pay: £21,000.00 per year
