Working under the direction of the Office Manager, the post holder will support functions and play an essential role across the business providing support and assistance across all aspects of the company’s activities to ensure Quality, Occupational Health and Safety and Environmental management requirements are maintained.

**Main Duties**:

- The monitoring/control of incoming site paperwork via post and/or App to ensure it is received on time.
- To scan site records and data into the relevant project files on SharePoint.
- Compile detailed work summary sheets and production logs from records received from project sites.
- Creation of documents in Word, Excel, PDF, Outlook.
- Creation and tracking of purchase orders in NAV.
- Assist team members as and when required.
- Providing central business support to assist with the running of Newark Head Office - fleet & facilities administration.
- Reception cover on a rotation basis to cover breaks and annual leave.
- Attend internal meetings as required and take minutes for distribution to the teams.
- Hiring of plant/equipment and ensuring that administration is closed out for current and past hires.
- Administrative support of STEQ - includes Occupational Health bookings, spreadsheet update, liaise with site personnel & supplier, record keeping. Training using the MyCompliance system (full training will be given)uploading of data & documents. Monthly fire equipment checks and general administrative support.
- Administrative support of Plant department - includes document uploads to INSPIRE (full training will begiven) and MS NAV systems. Weekly invoice run & change of plant location programme.
- Represent Aarsleff Ground Engineering Ltd and present a professional image.

**Person Specification**:

- Competent using MS Word, Excel, Outlook.
- Friendly, approachable, and professional manner.
- Work well alone and as part of a close-knit team
- ‘Can do’ attitude
- Good clear communicator both verbally and written
- High level of accuracy and attention to detail.
- Organised and calm under pressure.
- Proactive, positive and flexible to the needs of the business and the role.
- Ability to prioritise own workload and work of others to meet deadlines and achieve targets in a fast paced environment.

**Qualifications and Experience**:

- 18 Months - 2 Years’ experience in a receptionist / Administrator /Customer Service environment
- GCSE’s (Grades 4-9 / A* - C) or Equivalent in English and Maths
- Experienced using Microsoft Office programs, including Outlook, Excel, Word
