Personal Assistant to Managing Director

We're seeking a motivated, highly organised Personal Assistant to support the Managing Director. This full-time role is full time and office based, working from The Woodspeen Restaurant in Newbury.
Duties will include:
- Proactive and effective diary management ensuring the MD’s time is best utilised daily and that he is supplied with the appropriate documentation when attending meetings and calls.
- Complete a broad variety of administrative tasks including regular completion of expenses and petty cash claims in a timely manner; transferring costs to other areas of the business when required.
- Composing and preparing correspondence that is sometimes confidential.
- Assist in coordinating the agenda of the senior management team meetings, project meetings and team meetings.
- Coordinate activity related to assigned projects as requested/relevant.
- Attend and participate at on-site meetings with the MD
- Set-up new starters and record leavers for all Woodspeen staff and senior roles across the group including the creation of employment contracts, Scan and upload all documents and ensure employment records are up to date. Recording sickness and absence.
- Overseeing and supporting general business administration including raising credit sales invoices from time to time.
- Attending Woodspeen weekly operations meeting to support team members
- Organisation of ad hoc special requests such as creation of complimentary/charity gift vouchers & events for VIP’s and stakeholders
- Support ad-hoc meetings by preparing agendas and taking minutes.
- Actively and positively engage with colleagues to provide operational and high level administration support to senior leadership team when required.
- Understand the importance of confidentiality and ensure discretion is always applied.
- Regular communication with the MD ensuring he is updated on any changes to their calendar and are notified of important information.
- Manage external contacts, proactively understanding who they are, who the primary contacts are, and keeping track of periodic communication needed.
- Telephone support for reservations and guest enquiries
Pay: From £25,000.00 per year
