Description

The Administrative Support Apprentice will support Durham Students’ Union effectively by providing excellent administrative, diary and Human Resource support to leaders and teams across the organisation.

The Administrative Support Apprentice will work within the Finance and Admin team to:
A. Provide diary support for the President and Senior Leadership Team, including scheduling meetings, booking rooms, and preparing agendas.

B. Process expense claims and credit card statements for the President and CEO.

C. Ensure accurate information, record keeping and correspondence with employees on matters relating to their employment i.e., job descriptions, contracts, wellness action plans.

D. Maintain and update the policy register in liaison with the Job title tbc.

E. Ensure collation of diversity information through recruitment and selection processes.

F. Provide administrative support for management meetings and leadership meetings as required, including booking rooms, preparing papers, and taking minutes.

G. Coordinate travel and accommodation bookings for the organisation.

H. Manage the employee complaints process, and any grievance/ disciplinary procedures.

I. Manage the BAYB and annual staff survey processes.

J. Monitoring of corporate inboxes (info, governance, and reception)

K. Accurate and efficient management and recording of internal complaints

L. Provide administrative support for meetings including scheduling meetings, booking rooms, and preparing papers.

M. Support colleagues across Durham SU in any additional administrative functions as reasonably required.

**The Administrative Support Apprentice will be accountable for**:
A. Effective and efficient HR systems, record keeping and processes.

B. Effective and efficient recording of corporate registers (Data Protection, Operational Risk, Health and Safety, Complaints tracking).

C. Efficient and proactive administrative support for Senior Leaders, Officers, and the wider staff team.

D. Supporting the (Senior Admin Coordinator) with day-to-day management of reception and Welcome Assistant student staff team.

Person Specification

Experience
- Record of accomplishment of delivering strong and accurate administrative work, with excellent attention to detail. Use of HR administration systems. Administrative work, either voluntary or paid. Working in a customer-focused role and environment either voluntary or paid.

**Skills,Knowledge &Expertise**: - Strong attention to detail and able to produce work with a high level of accuracy.
- Excellent working knowledge of IT and software including MS Office.
- Effective time management skills and able to take responsibility for prioritisation of tasks and deadlines.
- Able to work effectively in a team.
- Able to communicate clearly and confidently using a range of channels.
- Ability to work in a busy environment.
- Excellent organisational skills.
- Basic knowledge of charity governance requirements.
- Ability to take accurate notes and produce minutes from formal meetings.

Summary of Terms and Conditions
- Full-time role - 37.5-hours per week.
- The post will occasionally require additional commitment over and above normal office hours and this will be recompensed through the TOIL system.
- Place of work - Durham Students’ Union, Dunelm House, Durham. We work flexibly from both Dunelm House and from home.
- Generous benefits package including:
25-days holiday pro rata (to 37.50 hours week FT) p.a.

plus 8-days bank holiday and 3-days Christmas closure (also pro-rata to 37.50hr FTE)

6% employer contribution pension scheme (5% employee). Non-contributory HSF basic membership offered as a benefit. Flexible working within agreed parameters.

Qualifications
- Educated to GCSE standard or equivalent (minimum Maths and English language)
- Evidence of ongoing CPD.
