We are looking for an Administration Assistant to help transfer clinical guidelines over to a new online platform.

This will enable clinical teams to access important content in a more readily searchable and mobile-accessible format.

For example it will mean we can access important guidelines at a patient’s bedside, whether the patient has just had a stroke and is in hospital, or seen with an infection by the GP and we need to choose the right antibiotics.

The role will involve working with both clinical teams and administrative staff to transfer clinical guideline content currently held in Microsoft Word documents and PDFs onto a new online platform, called Microguide.

You would mainly be working on the computer, copying and then pasting content from Microsoft Word/PDF to the Microguide system, either manually or using the system’s in-built import engine, which is soon to launch.

You will be checking the content accurately reproduces the original document, adding hyperlinks, appendices, and diagrams, making any adjustments in discussion with clinical staff.

We have already transferred the content for a number of clinical specialties, and that pilot is due to go live very soon, so there is a clear process, and you will be able to see plenty of examples of how content can be organised. On-the-job training will be provided by a doctor who has been transferring some of the content so far.

The Clinical Effectiveness Team is responsible for monitoring and improving the outcomes of patients and service users, including by ensuring up-to-date local clinical guidelines, policies and procedures.

The guidelines, for instance, provide advice to clinical teams on what antibiotics might be most appropriate for a particular infection or which patients to consider giving a certain treatment to in case of a suspected heart attack. They are therefore used many times a day and vitally important to the work of hospital doctors, GPs, and other members of the clinical team.

Communication and working relationships

- Consultants, doctors, physician associates, advanced nurse practitioners, nurses and other clinical medical personnel across a number of specialties
- Admin and Clerical staff
- Management staff within Clinical Effectiveness and trust doctors who are helping to oversee the project

Planning and organisation
- To work with individual specialties to decide which guidelines are still required and thus need inclusion on the new system, and work to transfer the content over methodically, so no guidelines, policies or procedures are missed

Analytical and judgement
- Deciding which sub-headers to separate out in the new system, so that information can be accessed more quickly, asking for advice when necessary

Responsibility and accountability
- To act with professionalism and integrity, being a role model to those around and ensuring everyone has an equal opportunity
- Escalate to the Patient Safety and Quality Facilitator or clinical teams with any anomalies or concerns

Policy and service responsibility
- To comply with the Trust’s Patient Access Policy and Standard Operating Procedures
- You may at times be working near to clinical spaces and will need to ensure the confidentiality policy is adhered to at all times

Information technology and administrative duties
- To ensure that content is reliably transferred from the Microsoft Work and PDF documents to Microguide as per the on-the-job training provided.
