Payroll Controller

**Job Purpose**:
We are looking for a payroll controller - they will take on responsibility for tracking and controlling the payroll budget. They will be expected to work with HR colleagues to keep track of roles and rates vs our expected budgets, and to work with finance commercial controllers and BU and functional directors to ensure the business operates within it's cost budgets both in aggregate at at divisional level.
They will also be responsible for managing the finance processes at month end around payroll cost (not including payroll processing) in order that we get better reporting on payroll costs vs budgets and then agreeing actions with BUD's and ensuring these are followed through with both commercial controllers and HR BP's.
**Responsibilities**:
- Owns the payroll budget and forecast working with HR teams to track business changes and reflect in rolling forecast - 25%
- Examines and verifies payroll, benefit, leave and position control data for accuracy, appropriateness and documentation - 10%
- Ensures management are aware of position of rolling forecast vs budget on a regular basis providing better visibility than today) and engages management around actions needed to achieve budget - 10%
- Discusses payroll or headcount increases with BU or vertical directors and challenges need for additional spend or headcount and works to find solutions re affordability in context of departmental budgets - 10%
- Prepares regular monthly, quarterly, and annual payroll reports as well as ad-hoc financial estimates and budgets according to AOP and forecast processes - 10%
- Strong collaboration with HR organisation - works with HR business partners to understand and appropriately budget for payroll changes - 10%
- Posts payroll journals to GL - 2%
- Ensures accurate reconciliation of payroll control accounts - 2%
- Ensures accurate weekly and monthly Headcount Reporting in Workday and other reporting systems for permanent employees as well as external consultants - 5%
- Provide comprehensive actuals vs budget and forecast report of payroll and PRE (and HC) both at line level and departmental view of achievements - 5%
- Provides insight into vacancy rates across the business and tracks vs budget assumptions - 5%
- Calculates and posts holiday accrual for the region - 1%
- Collaborates with the bonus and commissions team - ensuring consistency of actuals vs budget in terms of schemes and on target bonus amounts - 2%
- Tracks vendor funded headcount positions and works with other parts of finance to make sure the budgeting, actuals and receivable position is in alignment and controlled - 2%
- Tracks academy and apprentice headcount and ensures accurate accounting for these costs - 1%
- Ensures compliance with Sarbanes-Oxley (SOX) initiatives and provides the required audit support - 1%
- Works with Workday to streamline processes around payroll forecasting - 2%
**Knowledge, Skills and Experience**:
- 3 to 5 Years of relevant work experience is required.
- Required Education: Technical
- Ideally accounting qualified or at least part qualified
- Possesses strong data entry skills.
- Able to execute instructions and to request clarification when needed
- Able to perform basic mathematical calculations.
- Able to demonstrate complex problem solving, critical thinking, and decision-making.
- Able to recognize and attend to important details with accuracy and efficiency.
- Able to interact effectively with higher levels of management (managers & above)
- Able to communicate clearly and convey necessary information.
- Able to negotiate skillfully and promote/sell ideas persuasively.
- Understand, communicate, and collaborate effectively with people across various identities.
- Possesses strong organizational and time management skills, driving tasks to completion.
- Able to constructively work under stress and pressure when faced with high workloads and deadlines.
- Able to maintain confidentiality of sensitive information.
- Able to collaborate and build solid, effective working relationships with others.
