**What you’ll be responsible for**:

- To ensure that information listed on the waiting list forms is entered onto the Patient Administration System (PAS) in an accurate and timely manner in accordance to the local AGN. Establish and maintain an efficient retrieval and filing system in order that patient information is accessible at all times.
- To ensure that clinical procedure codes assigned are an accurate translation of the diagnostic and/or procedure information noted on the waiting list form by the clinicians paying particular attention to accuracy in relation to the proposed site and operating time
- To ensure that the personal/demographic information noted on the waiting list form is accurate and updated on the Patient Administration System when necessary in order that the patient details are up to date at all times. Ensure that any periods of availability or requests of short notice availability for admission are entered appropriately and maintained on PAS. Maintain and update patient records on PAS and within theatre man as appropriate including any cancellations, additional comments or patient and clinical communication
- To utilise specialised knowledge to enable the post holder to undertake responsibility for specific specialties waiting lists. To ensure compliance with local and national target/policies ensuring relevant documentation is sent to patients and information entered on to the appropriate Information Technology systems.
- Work in conjunction with the Waiting List Supervisor to monitor and manage allocated elective waiting lists in line with the Trust policies and procedures (Administrative Guidance Notes) by use of the daily referral to treat (RTT) report to ensure that all patients are booked in chronological order and within their breach date unless clinical priority determines otherwise.
- Monitor the daily RTT ensuring accuracy, highlighting and rectifying errors as they occur, escalating issues in advance (eg capacity problems) to the supervisor as appropriate. Participate in validation of patients on the RTT and holding lists and maintain data accuracy as appropriate or requested
- Where appropriate notify ward nursing staff on relevant wards when a High Dependency Unit, Intensive Therapy Unit or overnight stay bed is required.
- To deal with enquiries including telephone enquiries in a helpful, courteous and efficient manner to required standards. To communicate efficiently and politely with patients who have to have their operation date rearranged. Be empathetic with patients needs recognising some of the complexities of any given situation.
- To notify the Deputy Operations Manager, Operations Manager or the Service Manager if there is a risk of patients being cancelled by hospital at short notice being aware of potential breaches that may be on those lists
- To undertake training as deemed necessary, ensuring up to date knowledge on Trust policies, procedures and processes. Ensure all mandatory training is maintained. Participate in any relevant training and support and assist in the induction of new staff.
