Camp Operations Coordinator

The Hole in the Wall Gang Fund, Inc. seeks a highly organized and detail-oriented Camp Operations Coordinator to join our team.

About The Job

As a key member of our medical team, you will serve as the primary overseer of various infirmary office and workflow functions, ensuring medical professionals can focus on participant, volunteer, and staff medical needs.

This role is responsible for clerical support, liaison work, inventory management, and supply maintenance. Key responsibilities include:

  • Serving as primary clerical support for infirmary operations, including answering phones, managing mail, shredding documents, and filing.
  • Acting as primary liaison to Facilities and IT team, reporting concerns and overseeing inventory and distribution of facilities resources.
  • Ensuring the Infirmary is clean, organized, and stocked with office and medical supplies across its functional spaces.
  • Maintaining a clean and welcoming waiting area with games, toys, and activities for campers.
  • Maintaining medical supplies, equipment, and formulary, including purchasing and inventory management.
  • Working with supply and biomedical support vendors for supply pickup and delivery.
  • Assisting the Director of Nursing with volunteer registration forms, database record keeping, and orientation materials.
  • Troubleshooting database issues and working with administrators as needed.
  • Ensuring medical volunteers are up to date on licensing requirements and certifications.
  • Configuring and posting medical staff and volunteer housing assignments.
  • Assembling and posting weekly session schedules for infirmary shifts and staff time off.
  • Greeting and checking in Infirmary medical volunteers, providing necessary information and documents.
  • Assisting with maintaining and updating staff and volunteer medical forms, database record keeping, and automation.
  • Supporting the enforcement of staff and volunteer medical requirements.
  • Collaborating on Infirmary projects and welcoming camper walk-ins, bringing them to treatment rooms and notifying medical team members.
  • Assisting with medical transport, copying charts, and notifying program teams.
