Key tasks will include but will not be limited to:

- Communicate and build key relationships across the organisation as well as with relevant external bodies on behalf of the Vice Principal to help manage and support delegated tasks.
- Provide administrative support for relevant meetings as required. This may include circulation the notice of meetings, preparation of agenda's, minutes taking and the production and dissemination of minutes.
- Actively support and assist the Vice Principal with important tasks, deadlines, or previous communications/commitments. This may include the booking and coordination of travel and staff recruitment processes such as interview and induction schedules.
- Support the development/implementation of any effective internal procedures/administrative systems to support the Vice Principal in their role.
- Assist with the financial management and contribute to the preparation and monitoring of budgets, providing effective controls and monitoring expenditure. Responsible for the coding and monitoring of income and expenditure, receiving and processing payments, processing all office purchase requisitions/transactions, invoice and credit notes, absence request forms, travel and conference bookings, claim forms, catering and maintaining logs of all details/costs.
- Deal with confidential and sensitive information appropriately ensuring confidentiality in always maintained.
- Work in collaboration with the Vice Principal to gather, analyse and interpret information to support the preparation of reports and data sets for local strategy and decision making.
- Working with the Vice Principal to undertake special projects to advance the work of their portfolio, including some project management and coordination. This may involve the development of project plans, supporting with the creation of presentations, reports, sending updated communications to relevant stakeholders, budgeting forecasts and assessing possible project risks and setbacks.
- Develop and manage a comprehensive and proactive record management system to support the Vice Principal and ensure that information and records processed are managed in compliance with all applicable legislation, codes and policies.

Essential Knowledge, Experience and Skills:

- Relevant experience in an Executive or Personal Assistant role.
- Able to prioritise own workload and work to deadlines. The postholder must have excellent and demonstratable organisational skills and the ability to work under pressure.
- A good working knowledge of Microsoft packages (eg. Word, Excel, Access, PowerPoint)
- Experience of collating data and of maintaining computerised and manual records.
- Good working knowledge of a range of office procedures and IT packages.
- Ability to work independently as well as part of a team
- Good problem-solving skills and attention to detail
- Financial knowledge, particularly working experience in monitoring budgets and balancing accounts.
- Ability to manage deadlines for Expenditure Statements and Invoice requests, in a timely manner.

Essential Education and Professional Qualifications:

- Educated to NVQ/SVQ Level 3 Higher Grade / HNC or equivalent experience
