An exciting opportunity to make a difference and provide administrative support to the Trust Wide Patient Public Involvement agenda and Head of Patient Experience and Engagement.

Main duties of the job

The post holder will be responsible for the management of the Patient Public Involvement reporting systems and administrative service. They will book events, meetings, support and involve patient groups offering a helpful and professional service to patients and public.

Working for our organisation

Involving and working with our patients and public is required across the Trust and involves all areas of the Trust and engagement with patient representatives.

You will be supported and work closely with the Head of Patient Experience and Engagement and the Chair of our Patient Partnership Group.

Detailed job description and main responsibilities

To attend meetings, take minutes, draft agendas and circulate minutes for a range of patient and staff groups.

To book meetings/study days/workshops and other events.

Provide administration support to Patient Representatives.

Maintenance and reporting of Datix Patient Public Involvement recording system.

Responsible for managing and updating Patient Public Involvement database systems.

To maintain the Patient Public Involvement staff and public intranet/internet and social media sites.

Maintain efficient electronic and paper filing systems.

Deal with incoming calls ensuring they are answered or referred as appropriate.

To raise purchase order numbers, process invoices and manage and order stationery, equipment.

To be responsible for the administration of national, local Patient Public Involvement data and information as required.

Assist in the training and education of new members of staff.

Assist and provide support to other members of the corporate Nursing Team as required.

Any other duties appropriate to the grade.

Training & Qualifications

Essential criteria
- RSA III word-processing/text processing or equivalent
- NVQ level 3 in administration or equivalent

Experience

Essential criteria
- Minimum of 2 years recent secretarial experience.
- Minute taking
- Medical Terminology
- Experience in using Microsoft Word, Outlook

Desirable criteria
- Patient Public Involvement experience

Communication and relationship skills

Essential criteria
- Must be able to clearly and accurately convey information verbally and written
- Must be understanding and helpful
- Can complete letters, forms, reports & tables using computerised technology
- Maintain sensitivity and empathy in communication with patients/clients

Analytical and Judgement skills

- Able to use judgement to make decisions in order to solve problems/enquiries
- Works in line with standard procedures
- Seeks appropriate training opportunities

Planning and organisation skills
