**Office based role across Children’s Centres in Chesterfield**

**Enhanced DBS required for this role**

A Business Services Assistant is required to assist in the provision of an efficient and effective administrative support service to Children’s Services operational managers and employees by carrying out a broad range of business services activities.

Key responsibilities:

- Work flexibly across Children’s Services Business Services functions providing effective administrative support possibly at a different location as required.
- Perform general administrative tasks, input and retrieve data, create documents to standard formats and maintain document and record keeping systems in line with departmental procedures, processes and data protection requirements.
- Record and process financial information adhering to defined procedures, including handling petty cash, processing invoices for payment, raising orders, etc, and assist in gathering information to reconcile accounts.
- Assist in the processing of incoming communications ensuring they are handled appropriately, including data handling and scanning of documents into electronic systems.
- Make routine arrangements and bookings and prepare materials for, and provide support at, internal or external events and activities.
- Receive visitors and provide/request information in person and by telephone in a courteous manner promoting customer care.
- Assist with the compiling of basic statistics and information for use in management information reports.
- Provide support and record discussions at regular meetings within the service ensuring action points are noted.

**Qualifications**:

- ECDL or equivalent desirable.
- Word processing qualification e.g. OCR Stage II desirable.

**Experience**:

- Experience of an office environment and of knowledge of office equipment.
- Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
- Experience of using IT including Microsoft Office e.g. to prepare documents and input and retrieve data.
- Experience of working in a customer focused environment desirable.

**Skills & Abilities**:

- Ability to exchange information verbally or in writing with a customer focus.
- Accuracy and ability to prioritise work.
- Effective communication skills.
- ICT skills including bespoke databases, spreadsheets, word processing packages etc.
- Proven literacy and numerical skills.
- Good customer liaison and communications skills.
- Flexible approach to working. Ability to work effectively across teams and at different localities.
- Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
