**JOB SUMMARY - **This role will be split between secretarial and admin tasks (50% secretarial/50% admin)

A varied role incorporating a mixture of reactive requirements and daily expectations as well as pre-planned cover for staff on leave from each of the two teams. This is an office-based role concentrating on using a variety of information technology and processes. Knowledge of Microsoft Office systems is essential and EMIS clinical system an advantage.

**Secretary Job Responsibilities**:

- Coordinate the provision of an efficient typing and word processing service for GPs and Health Professionals as required. This includes typing from dictation, typing of letters, reports, patient referrals, minutes, memorandums etc. with accuracy and appropriate consideration
- To collate and maintain appropriate reporting of Choose and Book achievement
- Take responsibility for promoting the use of ERS (Electronic Referral System) with GPs
- Create and maintain templates for GP letters and be actively involved in the evolution of the use of technology and the appropriate training and support required for the team and GPs and coordinate the processes required
- To assist with all clerical and administrative duties
- To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure
- Coordinate and take responsibility for the completion of medical/insurance records.
- To receive incoming and initiate outgoing telephone calls and faxes in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
- To use the computer clinical system in an accurate and secure manner
- To assist with the gathering of statistics and information when required, including externally required audits
- To provide cover for members of the secretarial team during periods of sickness and annual leave
- Ensure adequate supplies of secretarial office stationery, stamps etc in order for the team to perform the secretarial duties
- To receive and dispatch mail and maintain a pending system
- Any other tasks that may be deemed appropriate by the GP Team

**Administrator Job Responsibilities**:

- Processing and distributing incoming mail
- Scanning documents/records onto the computer system
- Completing workflow tasks in Docman computer system
- Entering SnoMed in EMIS
- Filing and retrieving paper notes.
- Providing clerical assistance as required from time to time, including word/data processing, filing, photocopying and scanning
- Ordering, re-ordering and monitoring of stationery and other supplies.
- Collating information for solicitors
- Complying with DPA18
