**Events and Marketing Administrator
**Temporary**
12 - #14 per hour
The Client:

- **Is a not for profit Society who's activities include publishing journals and books, providing grants and organising scientific meetings and lectures, both in the UK and Internationally.
**The Role:

- Conference Facilities**:

- Support the Head of Conference and Buildings with day to day hands on running of events, as and when needed.

**Sales & Marketing**:

- Respond to Conference Facilities enquiries speedily co-ordinating bookings from enquiry stage through to event day.
- Enter all bookings into Rendezvous room booking software and confirm events with clients via a signed contract.
- Pro-actively identify and follow up on new leads.
- Carry out cold calling on a weekly basis to generate new leads.
- Establish relationships with key clients offering a high level of service.
- Conduct client and event agent venue show rounds.
- Promote the venue through social media accounts monitoring and engaging regularly.
- Run lead generating social media campaigns.
- Carry out marketing drives and market research.
- Maintain and develop relationships with venue finding agents and event organisers.
- Seek new venue finder agents.
- Response to leads generated via agent websites
- Review leads with the Head of Conferences and Buildings on a weekly basis.
- Using all promotional channels and customer relations maintain high volume of room bookings.
- Research competitors and review prices and service at regular intervals.
- Organise and attend networking events in-house and locally.
- Arrange the effective distribution of marketing materials.
- Develop event menus working with the contract caterer on new packages to market.
- Implement new event packages to boost sales.
- Develop the website.
- Respond to internal enquiries for rooms and take bookings.
- In the absence of the Head of Conferences and Buildings, greet clients to the conference venue.

**The skills:

- Experience of working in a conference venue in a customer-facing role.
- Experience in event sales and marketing.
- Experience in digital marketing and social media.
- Experience of working with AV equipment and presentation set-ups.
- Experience of supervising contractors.
- Experience of using Microsoft Office, especially Word, Excel and Outlook.
- Experience of working within Facilities - desirable.
- Experience of room booking software (Rendezvous desirable)
- Search Engine Optimisation (SEO) knowledge.
