Personal Assistant (Legal)

**Salary**: £30,000 - £35,000 per annum

Reports to: Director of Legal (Research)

Department: Research & Innovation

Contract: Permanent

Hours: Full time 35 hours per week

Location: Stratford, London; Office based with high flexibility (1-2 days per week in the office)

We currently have an exciting opportunity for an experienced and highly competent Personal Assistant (PA) to provide proactive, senior level PA support to the Director of Legal. You will support the company secretarial work for Cancer Research Horizons, including liaising with Board Members and Non-executive Directors. In addition, you will provide ad-hoc support to the Legal team, including supporting team meetings, workload allocation and holiday and leave tracking.

What will I be doing?
- Proactively manage the Director of Legal’s diary and schedule, updating and communicating changes effectively and being reactive to change
- Responsible for logístical tasks, including payment of invoices, general administrative work such as room bookings, arranging catering for meetings, managing expenses etc.
- Support and attend Cancer Research Horizons board meetings; this includes pulling together the agenda, ensuring papers are submitted on time and meet the required format, liaising with Board Members as to their availability and managing the formalities of the meeting on the day
- Manage the Company Secretary calendar, ensuring key tasks and meetings are scheduled in advance. Update the calendar with any additional activities
- Provide support on the budget by liaising with the team and the finance department to track spend throughout the year
- Collate related paperwork for meetings, including briefing notes, agendas and minutes
- Ensure appropriate approvals are obtained for purchase orders, expenses and contracts
- Work as part of a close PA and Administrative team, ensuring everyone is kept up to date on activity across the directorate, supporting and covering as required

What skills are you looking for?
- Experience of providing senior level support at Director level, including diary management, document preparation (PowerPoint presentations, meeting agendas, correspondence) and minute taking
- Experience of managing a busy workload, including complex and competing priorities whilst remaining organised and professional
- Excellent verbal and written communication skills and an ability to communicate, interact and build relationships with people at all levels
- Excellent attention to detail
- Ability to work reactively as well as pro-actively. Being comfortable making sensible judgements as to prioritisation of workload
- Proactive in the ability to take complete ownership of problems and work, and lead on these using own judgement
- High level of drive and enthusiasm and willingness to get involved across the organisation
- Demonstrate a complete understanding for consistent confidentiality, discretion and diplomacy
- Excellent Microsoft Office skills and an ability to quickly adapt new software and in-house systems
- Creative and forward thinking, championing new ideas and process improvements
