**Role: Executive Assistant to Headteacher**
**SCP 30-32 **£36961.00 - £38959.00 FTE £32040 - £33771.00 TTO +5 inset days inclusive of fringe allowance.
**Supervisory Responsibilities**:None
**Hours of work: Term Time plus Inset Days (**some flexibility expected depending on critical school need)

**Job Purpose**
The post holder will be responsible for
- To provide full executive support to the Headteacher including leading on the administration requirements arising from the Headteachers responsibilities.
- To establish, maintain and promote good relationships with all stakeholders.
- Provide high level and professional support to the Senior Leadership Team
- Supporting and encouraging the school’s ethos and its objectives, policies, and procedures.
- Organising events
**Main Responsibilities**
- Deal with parents/staff and all stakeholder's enquiries and act as a link between them and the Headteacher.
- To assist the Headteacher in organising her administrative workload recommending items to be dealt with in order of priority. Ensure that the Headteacher responds within timescales identified in any agreed priority action list.
- Maintain the diary for the Headteacher, arranging appointments as appropriate, and ensuring that she is briefed on matters to be discussed.
- Make travel arrangements for the Headteacher and to provide care for her visitors, including the provision of refreshments.
- Assemble and prepare papers required by the Headteacher to attend meetings, prepare reports, or reply to requests for information.
- Handle all confidential correspondence with discretion.
- Update the school website
- Manage the school recruitment administration.
- Update and manage the school's social media
- Manage projects on behalf of the Headteacher.
- Maintain the policy schedule for the school.
- Problem solve as appropriate to ensure that daily and strategic goals are reached.
- Communicate on behalf of the Headteacher at all times, using discretion and tact to ensure telephone callers, pupils, staff, parents, and visitors receive a professional response and are dealt with by the most appropriate person.
- Ensure that correspondence and enquiries or problems are dealt with in an appropriate manner and that strict confidentially is always maintained, including the management of confidential papers and files.
- Proactively schedule and facilitate meetings on a daily basis to ensure effective prioritisation and a manageable programme of meetings, to include the preparation and circulation of agendas and minute taking as and when required by the Headteacher.
- Manage key documents, minutes, and action plans, ensuring follow up of all previous meetings actions so that subsequent meetings can run with all the required information available.
- Oversee the scheduling, agendas and papers for all Senior Leadership Team meetings, and meetings related to any potential new projects.
- Attend elements of SLT Meetings, and any other meetings as directed for minute taking.
- Support the Headteacher in the preparation and circulation of Trustee Reports.
- Ensure the maintenance of clear and effective filing, records, and other systems and to keep them updated.
- Ensure that matters arising from meetings are dealt with by the appropriate people within agreed timescales.
- After discussion, draft, as appropriate, outgoing correspondence, and school documents that are the direct responsibility of the Headteacher.
- Support the Headteacher and other senior leaders in the organisation and detailed planning of special events, such as school productions.
- Foster links between the school and the local community.
- Carry out research for the Headteacher/senior leaders as required.
- Attend occasional school events as required.
- Organise workload and prioritise daily using own initiative and knowledge of the work, with minimum direct supervision from the Headteacher.
- Cover for absent colleagues in the general office, as necessary.
- Help with students who are ill or unwell.
- Maintain a high degree of confidentiality regarding issues concerning members of staff, strategic changes, and pupils. Respond positively with tact, sensitivity and awareness to pupils and parents in relation to duties undertaken.
- This role may incur some out of hours work by agreement.
