The AV & Events Coordinator will provide, develop, and support a proactive and efficient delivery of operational support across the Group. It will cover a variety of areas and services both internally driven and in partnership with our supply chain.

A large part of the role will involve developing and maintaining a network of positive working relationships with the staff, stakeholders, and partners. Anticipating and reacting to meet existing and future needs in providing a best in class working environment.

**What you'll do**:
Reporting to the Group Operations Director you will be required to work closely with your operations peers, wider internal staff teams, senior stakeholders, and external partners to support resources and teams to meet the demands of the business.
- Support compliance across operations. Including health & safety standards, policies, and relevant legislation. Including the maintaining of records and documents to ensure we meet all legal requirements, best practice, and organisational objectives.
- Have a staff-focused approach and emphasis on continuous improvement.
- Support the infrastructure and business systems required to enable the group to run successfully.
- Support with the development, compliance, and progression of group lead accreditations such as ISO’s
- Champion and promote operational excellence.
- Work across the operations teams to deliver group demand, needs and services.
- Act as lead liaison for event organising within the portfolio, for internal and external audiences.
- Support, manage and maintain all meeting rooms
- Lead and deliver Event and Pitch support and coordination needs for all internal and external needs.
- Lead digital signage needs around offices.
- Lead in office environment services i.e. - audio streaming, events and Presentations
- Ensure all equipment on site is maintained and kept in working order with all faults reported via the onsite procedures.
- Maintain total confidentiality relating to information received for presentations, events, meetings, conferences and broadcasts etc site is maintained and kept in working order with all faults reported via the onsite procedures
- Provide admin support and work as an active part of the operations team. This would include, responding to requests, tickets, Screening phone calls, enquiries, and requests, and handling them where appropriate.
- Assist and support the client in the use of fixed and portable audio-visual equipment for the set up and running of on-site audio-visual events i.e meetings, conferences etc
- Proactive diary and calendar management
- Raising PO’s/ processing invoices / submitting expenses
- Operations Databases - development, maintain and upkeep of all contractors, supplier and vendor profiles and certificates.
- Liaising with suppliers and partners to maintain strong relationships.
- Point of contact for daily operational events support needs.
- Assisting in the BCP and DR requirements as directed.
- Set up and operation of the AV kit / systems / services

**What you'll bring**:

- Proven experience in administrative support roles, preferably within a fast-paced corporate environment.
- Experience in managing office operations, facilities, and resources to meet business needs.
- Knowledge of health and safety regulations, policies, and best practices, with a demonstrated ability to ensure compliance.
- Experience in event organization and coordination for internal and external audiences.
- Demonstrated competence in managing meeting room operations and event support for conferences, presentations, and broadcasts.
- Hands-on experience in handling audio-visual equipment setup, maintenance, and troubleshooting.
- Proven ability to work collaboratively within a team and maintain strong relationships with stakeholders, suppliers, and partners.
- Familiarity with developing and maintaining databases for contractors, suppliers, and vendors.
- IT skills with a keen interest in staying current with emerging technologies and best practices.
- Previous experience as a first aider and fire marshal, or willingness to undertake relevant training.
