Property Administrator

We offer an opportunity you simply won’t find anywhere else. In less than four years, Mileway has grown into Europe’s leader in last mile logistics real estate, with a 450-plus team across more than twenty offices in ten countries._
Are you an experienced real estate professional, ready to shine in a fast-moving international team? We are looking for a highly organised, driven Property Administrator with great attention to detail to join our UK team based in the Glasgow city centre office.
In this role, you’ll work closely alongside the Head of Property Management UK and external Property Managers, as well as the wider central Property Management, Asset Management and Portfolio Management teams here at Mileway. You will assist with managing all day-to-day oversight of the UK portfolio’s property management and making sure our core systems are kept up to date with high-quality, complete, and reliable data.
**Working at Mileway**
Mileway set out to be a different kind of real estate company from the beginning, setting things up the way we always wanted them, like our cloud-based IT infrastructure and our team’s ability to flex across borders, combining the best of local knowledge with the pooled expertise of a pan-European business.
At Mileway, we believe company growth comes from supporting the growth of our combined capabilities. This is why we have our own inhouse learning & development program, where personal, professional, and business development go hand in hand - helping you carve out your own bespoke career path.
While your base will be the Glasgow office, we will give you flexibility to work some of the week from home. We’ll also equip you with a state-of-the-art technology package that helps you keep in touch, wherever you are. That doesn’t mean we need you 24/7. We expect you’ll work hard and also that you’ll need some downtime. Respect for your personal life is key to keeping our team happy and our batteries charged.
**What you’ll do**
- Assist the Head of Property Management UK with a range of responsibilities, including monitoring external property manager performance, reporting on collections and arrears, tracking progress on central tasks and reviewing process standardisation.
- Provide feedback and administrative support on innovative ways to manage our portfolio, such as through the use of automation software.
- Administration, input, and management of lease data. You will be responsible for day-to-day implementation of reviewing, interpreting and abstracting commercial leases for key terms and provisions, entering recurring rent charges, tracking critical lease dates and options, and updating other data points within our core systems.
- Manage unit and asset data, including managing changes, creations, deletions, and adjustments, and aligning unit and asset data changes with their impact on leases, billing, budget rents, and service charge.
- Monitor progress of data inputs and updates to help improve accuracy and drive accountability and quality in line with Mileway reporting standards and guidance.
**What you’ll bring**
- Your knowledge or experience in commercial property is essential, whether in lease administration, property management or a similar area.
- Your technology skills. Preference for experience with Yardi Voyager but not essential. You’re also competent with MS Office (Outlook, Excel, Word and PowerPoint).
- Your strong analytical and organisational skills. You’re well organised with the ability to manage and prioritise many simultaneous tasks, without compromising your excellent quality standard and attention to detail.
- Your great team energy. You’re a hands-on self-starter who works confidently and independently, and you also collaborate well with others.
- Your proactive attitude, openness to learn new systems and processes and ability to interact with stakeholders at all levels.
- Our vision is to be the number one gateway to urban communities. To get there, we live our values: Drive, Trust, Grow, Together._
