**Job summary**:
The GPA is committed to representing the communities we serve by making Diversity, Equality and Inclusion part of everything we do.
The Government Property Agency is changing the way the Civil Service works and is at the forefront of the Government's transformation agenda; reshaping the relationship civil servants have with their place of work. The Agency is central to the delivery of key Government policies including moving 22,000 Civil Service roles out of London by 2030 and tackling climate change by contributing to the Net Zero agenda. To do this we are delivering a major change programme across the UK and consolidating our portfolio in order to save £1.4 Bn over 10 years.
Beyond the bricks and mortar, the GPA is about providing great workplaces for our people. Through programmes like Hubs, Whitehall Campus and Smart Working you will be in the vanguard of creating model working environments and promoting flexible working practices.
This is an ambitious and exciting task, for which we need innovative people, with strong commercial acumen, who are passionate about visualising and implementing customer needs. Launched as an Executive Agency of the Cabinet Office in 2018, we’re a relatively new department and we are growing fast so we also need people who thrive in ambiguity, can adapt quickly to change and are comfortable stepping outside of their remit to drive outcomes.
**Job description**:
This is an exciting opportunity to join the Client Solutions directorate of the GPA, providing support to the London Strategy team in the delivery of the Plan for London and the Whitehall Campus Programme.
This role requires an enthusiastic person with a collaborative, constructive and positive attitude, able to work effectively in a fast paced working environment with colleagues and across the wider department.
We are looking for an enthusiastic person to support our London Strategy Team in the delivery of the Plan for London and the Whitehall Campus Programme. We offer a dynamic and fast paced working environment where we work collaboratively and value everyone’s contribution.
**Key Responsibilities**:
As a Strategy Support Administrator your responsibilities will typically include providing support to the London Strategy team and (by arrangement) to the Regional Strategy team and Warehouse team, including liaison with your wider GPA colleagues.
Responsibilities include but are not limited to:
Data management including shared folders and handling requests for information and data. This to include:
- Maintaining up to date records and filing systems on behalf of the London Strategy team including uploading relevant information onto the GPA’s Customer Relationship Management system (CRM)
- Maintaining and management of the workforce requirements process in the London region, including documenting new accommodation request forms from clients and coordinating approvals.
Professional administration support to the London Strategy team including managing the flow of work, maintaining trackers, reviewing and prioritising incoming correspondence and actioning tasks and requests.
Maintain and monitor London Strategy team’s procurement cases using GPA’s automated procurement process system (ask Richard Davies)
Monitor London Strategy team inbox, maintain team holiday list and act as meeting secretariat to key meetings.
Co-ordinating commissions to the London Strategy team ensuring commissioned material is completed on time and is of acceptable quality. Identifying requirements, sources and gaps, minimising the direct impact on delivery teams.
Building and maintaining effective working relationships across the GPA Directorates, wider Civil Service and senior stakeholders. Dealing with staff at all levels will require excellent interpersonal skills, a polite firmness, and an ability to react quickly to a changing environment, often thinking on your feet.
**Person specification**:
- Managing multiple deadlines to tight timescales.
- Ability to quickly develop a sound knowledge and understanding of business priorities, ways of working and information management
- Personal resilience, including the ability to adapt quickly to new demands and work flexibly in order to deliver quality outcomes under pressure.
