To be part of the Warwick Medical School HR Team and be responsible for providing an efficient and effective administrative service across the full breadth of the employee life cycle. You will be responsible for managing the operational delivery of the administrative function whilst overseeing the work of three Senior HR Assistants. You will guide them with respect to recruitment, on-boarding, mid-employment changes, and leavers. You will manage, motivate, develop and support the HR administrative team and be responsible for ensuring the provision of high-quality services to all external and internal stakeholders with respect to HR processing issues.

**JOB PURPOSE**

To be part of the Warwick Medical School HR Team and be responsible for providing an efficient and effective administrative service across the full breadth of the employee life cycle. You will be responsible for managing the operational delivery of the administrative function whilst overseeing the work of three Senior HR Assistants. You will guide them with respect to recruitment, on-boarding, mid-employment changes, and leavers. You will manage, motivate, develop and support the HR administrative team and be responsible for ensuring the provision of high-quality services to all external and internal stakeholder with respect to HR processing issues.

**DUTIES & RESPONSIBILITIES**

**Supervisory**

To manage a multi-functional team of three Senior HR Administrators, leading on induction, recruitment, annual leave monitoring and absence management for the team.

Overseeing the work allocation of the team and monitoring workloads to ensure procedures and process improvements are carried out effectively. The role holder will oversee all workstreams across the full breadth of the employee life cycle.

To monitor workloads and ensure adequate resource availability to cover normal business hours, peak times and periods of leave or other absence across the team.

To conduct regular catch-up meetings and annual reviews with team members, monitoring and managing staff performance.

To be a point of escalation for complex operational queries, providing specialist advice and support across all areas of HR processing.

To regularly review training needs within the team, providing in-house training workshops where required.

**Operational**

To manage the creation and maintenance of SOPs and instructions for the processes and procedures used by the team, liaising with the Shared Services HR Team Leader with regards to any substantial process changes required. Ensure all processes and procedures are kept up to date and regularly reviewed in conjunction with stakeholders and in line with the changing needs of the department and ensure appropriate staff training and development as required to adopt new processes.

To ensure the operational smooth running and provision of excellent levels of service by the HR WMS HR Team. To work with the HR Process Lead to ensure that published KPIs are reviewed regularly in line with any process changes, ensuring that any changes are communicated in a clear and transparent manner with departmental contacts and that the team’s performance is monitored and managed in line with the pre-set KPIs.

To provide overall management of the WMS HR Support Services webpages (including day to day updating as required) to ensure its content is engaging, timely, relevant and adheres to HR and University guidance on branding and tone of voice and provides the necessary information and marketing of HR Support Services provision.

To manage relationships with the wider HR Shared Services teams, ensuring that any collaborative processing activities are smooth and efficient for customers.

To proactively engage with the HR Support Services team to develop appropriate SLAs, seek regular feedback from all clients and customers and effectively address any necessary concerns.

To manage the OH checking process, assisting departments in determining whether a OH check is required and ensuring that the request is actioned by the Senior HR Administrators in a timely manner.

To collate feedback on administrative processes from internal and external stakeholders, ensuring that it is fed back to the HR Manager and HR Process Lead.

To contribute to the ongoing review and development of HR processes and systems in conjunction with the HR Support Services Centre.

To undertake project management for projects within own area of work as required.

**Reporting**

To provide reports to the HR Manager detailing the workload of the team, working to identify peaks in workload, to identify any additional training requirements.

To work with the Senior HR Administrators on the most complex exception reports, investigating any complex cases. Ensuring that any changes in reporting requirements are communicated to the HR Process Lead.
