**Summary**

The Learning and Engagement Coordinator is responsible for the administration and coordination of Hay Festival projects that engage young people and communities across the UK.

**Key Responsibilities**
- Support the Learning and Engagement Manager in the coordination and delivery of Hay Festival’s Learning and Engagement programme, including Programme for Schools, Scribblers and Beacons projects.
- Support the community engagement and participation programme including delivering equalities, diversity and inclusion projects to attract new audiences.
- Act as the first point of contact for all school enquiries, managing ticket requests and travel plans for the Programme for Schools events at Hay Festival, Wales.
- Manage the database of contacts for schools, inputting participation data
- Work with the Administrator to prepare contracts for freelance staff delivering the Learning and Engagement programme.
- Assist in the preparation of Festival reports.
- Respond to requests and information for workshops and events as required.
- Induct freelance staff and share relevant information with them regarding Learning and Engagement participants
- Proactively engage with and meet teachers to talk through the Hay Festival Learning and Engagement programme
- Proactively engage with community project delivery in support of the Learning and Engagement Manager and the work strands within the strategic plan.
- Document engagement through photography, filming, and note-taking
- Work with the Marketing department to effectively promote Learning and Engagement presence on the organisation’s website, in print and via social media.
- Ensure all staff working with young people have a current DBS certificate.

**Other responsibilities**
- Maintain accurate records and to input Hay Festival management systems.
- Creating and maintaining professional relationships with funders, sponsors, and partners ensuring that enquiries are dealt with promptly, accurately and willingly.
- Creating and maintaining professional relationships with other members of staff
- To promote and comply with current legislation including Hay Festival policies on Equality and Diversity and Health & Safety, Safeguarding, in the delivery of services and the treatment of others.
- Adhere to HFF Financial Regulations
- Uphold the HFF brand and reputation at all times
- Observing organisational practices, administrative procedures, internal communications, staff training and development.
- Undertake other duties as requested.

**Person Specification**

This is a job for an extremely organised, confident and proactive multi-tasker, it requires an abundance of energy, resourcefulness and a keen eye for detail. The ability to prioritise effectively and communicate efficiently is key.

**Essential**
- Demonstrably strong administration and organisational skills, and the ability to work to deadlines.
- Excellent communication (both written and verbal) and interpersonal skills with people at all levels
- A proactive, positive and confident team member used to supporting others and working with colleagues on all levels.
- An ability to communicate a passion for the arts to people with different expectations and cultural experiences
- Ability to forge energetic relationships with stakeholders
- Computer literate with good working knowledge of the Microsoft Package (Excel, Word and Powerpoint)
- Sound understanding of equalities, diversity and inclusion practice

**Desirable**
- Experience of working in partnership with schools and/or community groups
- Experience of working with children and young people
- Good working knowledge of safeguarding procedures and best practice
- Understanding of both formal and informal Creative Learning sectors
- Copy writing and a good eye for graphic design, film and/or photography skills - knowledge of the Adobe creative suite Premiere (or Final Cut Pro) Illustrator, InDesign and Photoshop
- Welsh speaker

**Job Types**: Part-time, Permanent
Part-time hours: 22.5 per week

**Salary**: £22,000.00-£25,000.00 per year
