The focus for A S Ramsay Group is to provide and excellence of shared and supporting services to the three separate divisions: A S Ramsay Block; A S Ramsay Commercial; and A S Ramsay Fire & Security**.**
**Our typical contracts include**:
- A S Ramsay BLOCK - External mansion block restoration; internal common-part refurbishment; and small works for Property Managers.
- A S Ramsay COMMERCIAL - Cladding remediation projects; academy and school works; and hotel and commercial building improvements.
- A S Ramsay FIRE AND SECURITY - Fire door installation and maintenance; accredited fire separation work; and access control and fire detection.
**Job purpose**:
The project Administration Assistant is responsible for all co-ordination of purchasing administration, invoicing and job file set up and filing for all projects in your division. Supporting the administration for Management of the project budgets. Offering administrative support and project focused tasks to the Director as required.
**Main duties**:
- PROJECT FINANCES: Make all project card purchases driving down costs by getting multiple quotes from suppliers.
- PROJECT FINANCES: Ensure that all purchase are tracked to a project or administration budget.
- FINANCES: Invoicing.
- GENERAL: Answer the main work phone.
- PROJECT FINANCES: Maintain and keep all project budgets up to date.
- PROJECT FINANCES: Assist the Estimators with setting up all project budgets, creating works packages for pricing as necessary.
- TENDERS: Set up new projects enquiries on Monday and Sharepoint.
- PROJECT ADMINISTRATION: Set up new projects on Sharepoint and merge all pre-contract information into the predefined filing system.

- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong typing skills with a high level of accuracy
- Familiarity with Xero or other accounting software is a plus
- Excellent organisational and time management skills
- Ability to prioritise tasks and meet deadlines
- Strong attention to detail and problem-solving abilities
- Professional phone etiquette and communication skills
- Ability to work independently as well as part of a team
- Previous experience in an administrative, project or finance role is desirable
