**Job description**:
- The Personal Assistant (PA) provides secretarial and administrative support to the Commander of 77 Bde. The post holder is required to run the Commander’s diary, coordinate travel and accommodation and ensure data protection and document handling compliance. Discretion and tact are key attributes required in establishing relationships with a range of stakeholders, military and civilian, across all ranks/grades.**Person specification**:
- Work within the Command Outer Office as primary point of contact (POC) for prioritising and managing access to the Commander (Comd) in-line with his direction or service needs.
- Effective and efficient confidential management of the diary. Ensuring that it is well structured and up to date, including prioritising all meeting requests and invites and distributing diary invitations on behalf of the Commander.
- Co-ordination of all Command team travel by planning and booking all the requirements, ensuring all relevant policy is adhered to and all required supporting documentation is acquired.
- Provide administrative support by preparing and distributing letters, documents and forms using MS Word, MS Excel and MS Powerpoint in an accurate and timely fashion.
- Establish and sustain an effective network with Bde HQ staff and Units’ Chain of Command to develop agreed procedures and efficiencies to make best use of the Commander's time.
- Ensure the Brigade follows all gifting and hospitality regulations, ensuring all gifts received and offers of corporate or external hospitality received by the Commander are captured.
- Co-ordination of outer office services including stationery, office facilities, meeting bookings, arranging provision of refreshments and working lunches. Acting as the interface for all visitors.
- Co-ordination of Command Group meetings and minute taking
- Ensuring all personal documentation held within the outer office is fully aligned with the Data protections Act 2018 and ensure that classified documents are handled and filed away as required for their classification.
- Team working to ensure the office provides an effective and efficient service and when required support the wider Command team.
