The Role

Are you a motivated and enthusiastic individual looking to further your organisational and administrative skills whilst working for a leading a North East organisation? This could be an exciting opportunity to advance your career where you will become experienced in all aspects of the student lifecycle, from induction through to completion.

The School of Arts and Cultures is home to students studying Fine Art, Music and Media, Culture, Heritage at undergraduate and postgraduate level. We are looking for an experienced administrator to join our degree programme administration team to provide comprehensive support and oversee the allocation of duties and workload of the degree programme Assistants within a programme cluster to ensure that School, Faculty and University policies, deadlines and standards are met. The balance of responsibilities will vary according to the nature and scale of the programmes within the cluster.

You should have experience of working in a similar administrative role, ideally with a good working knowledge of the relevant processes and procedures under-pinning degree programme administration, but most importantly you will be highly organised with a proactive and positive approach, able to prioritise workload for yourself and your team and use initiative and judgement to resolve problems independently.

Key Accountabilities Oversee and support the allocation of duties and workload of the Learning & Teaching Assistants within the programme cluster, including but not limited to: reviewing and updating documentation such as modules and regulations, student registration and induction, updating student and teaching databases, coordinating assessment requirements, providing support to the Chair of relevant committees, collation of timetable requirements and overseeing student placement support where required Oversee the processing of absence and personal circumstance requests and process attendance monitoring reports Provide guidance, based on regulations, to students and academic colleagues and student-based management information to colleagues as required Provide students with a consistent high level of service and ensure they are effectively supported throughout their programme lifecycle, including whilst taking part in activities such as placements and mobility opportunities Provide support for student queries in various locations associated with the School on a rota basis and take on a generic health and safety role within the School To carry out other duties, as defined by the line manager, which support the successful achievement of the School’s vision and strategy

The Person (Essential)

Knowledge, Skills and Experience Demonstrable experience in an administrative role ideally within higher education or a comparable setting High level of organisational and prioritisation skills with a proactive approach Ability to manage information with a high level of accuracy and attention to detail Excellent communication and interpersonal skills An up to date knowledge of Microsoft Office, particularly Excel A working knowledge of relevant systems is preferred but not essential, but you should be able to demonstrate the ability to learn different databases Experience of advising on policy and possible courses of action Experience of supporting committees and following up on actions Initiative and judgement to resolve problems independently
