Job Title: Office Administrator - Contracts Division

Overview:
We are currently seeking a meticulous and proactive Office Administrator to join our Contracts Division.

**Responsibilities**:
Contract Management Support:
Assist in the preparation, review, and administration of project documentation, ensuring accuracy and compliance with company policies and procedures.

Maintain project databases, tracking systems, and job files.

Coordinate contract execution, including obtaining signatures and managing contract filing processes.

Monitor tender deadlines, milestones, and return dates to ensure timely action.

Administrative Assistance:
Provide administrative support to the Contracts Division, including scheduling meetings, managing calendars, and arranging travel.

Prepare and distribute correspondence, reports, and presentations related to project activities.

Assist in the organisation and coordination of contract-related meetings and events.

Handle inquiries from internal stakeholders and external partners regarding contract status and related matters.

Office Management:
Oversee day-to-day office operations within the Contracts Division, ensuring efficiency and compliance with policies.

Manage office supplies, equipment, and facilities, coordinating procurement and maintenance as needed.

Maintain organised filing systems and documentation for contracts and project related materials.

Collaborate with other administrative staff to support broader office needs as required.

Communication and Collaboration:
Serve as a point of contact for internal teams and external parties involved in contract and project activities.

Facilitate communication and collaboration between stakeholders, ensuring alignment on project requirements and objectives.

Liaise with supply chains, finance, and other departments to address contract-related inquiries and issues effectively.

Process Improvement and Compliance:
Identify opportunities to streamline contract management processes and improve efficiency.

Assist in the development and implementation of policies, procedures, and best practices related to contract and project administration.

Ensure compliance with regulatory requirements, company policies, and contractual obligations.

**Requirements**:
Previous experience in contract administration, project support, or related field preferred.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Sharepoint) and project management software.

Strong organisational skills with the ability to prioritise tasks and manage multiple deadlines.

Excellent attention to detail and accuracy in contract review and documentation.

Effective communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.

Proactive and self-motivated with the ability to work independently and as part of a team.

A focus on business administration, the construction industry, or related field.

Additional Information:
This is a full-time position based in Coalisland.

Salary and benefits will be commensurate with experience.

Flexibility in working hours may be required occasionally to accommodate deadlines and project requirements.
