The Estates team is seeking a part-time experienced maintenance co-ordinator who can manage the day-to-day annual maintenance programme of repairs, improvement and compliance works across a portfolio of buildings in the UK and Italy, following the retirement of the current post holder.

This role is crucial in providing central financial budgetary control to the Estates team of an annual budget of circa £2½m. The successful post holder will have relevant planning and knowledge with a strong track record in the preparation of budgets, monitoring and cost control within the conservation sector or public sector environment. They will work proactively to develop good working relationships with colleagues at head office and regionally to build on developing forward maintenance work plans.

A keen interest in historic buildings and/or the built environment would be an asset.

**Key Accountabilities**
- Liaise with regional surveyors to develop work plans, creating and maintaining a five-year rolling programme of maintenance, improvement and compliance works for each Landmark property.
- Book maintenance closures and manage these to maximise income from holiday lets and minimise the impact on customer holidays.
- Develop and maintain a logical structure of Salesforce reports to provide focussed information on all aspects of the maintenance programme for regional surveyors, regional managers, financial controller and senior management team.
- Work with the Head of Estates to plan and agree future spending plans and annual budgets.
- Monitor all spending on building maintenance, customer improvement and statutory compliance works taking responsibility for ensuring overall spending is within budget.
- Monitor current maintenance closures. Ensure that changes to works and spending are managed and controlled, accurate records kept of work completed and that property information is updated where necessary. Provide information to other departments.
- Ensure certificates and reports are received and stored in a consistent and accessible manner.
- Lead on undertaking property cost analysis for ongoing for repair and maintenance against loss of revenue working closely with Operations and the finance department.
- Manage and update the records of approved contractors. Gathering information required under CDM regulations. Ensuring that each property has suitable approved contractors.
- Contribute to the development of a Landmark wide purchase order system.
- Provide oversight of project cost trackers and provide in-house project surveyors with financial project support as and when required.
- Working closely with the Estates Manager, set and monitor annual funding allocation for the let estate portfolio.
- Liaise with the Estates Manager to develop work plans, creating and maintaining a five-year rolling programme of maintenance, improvement and compliance works for each let estate portfolio.
- Working closely with the Manager for Italy, set and monitor annual funding allocation for the maintenance and testing/servicing regime for our Italian properties.
- Assist with property insurance company claims, liaising with in-house surveyors and external loss adjusters in the evaluation and settlement of any building related claims.
