Enrolment and Assessment Co-ordinator Apprentice

The Apprentice will recruit, induct, enrol, and support learners from pre-enrolment through to the end of the process. They will ensure all parties are listened to and are the gatekeepers to effective process and implementation of new learning and development projects.

Typical responsibilities will include:

- As part of the Central team, you will lead learner induction and enrolment, following due process to ensure learners start their journey well.
- To provide information, advice, and guidance to learners regarding funding eligibility, career development and their learner journey with Train Together
- Complete smooth transition for the learner between enrolment and their trainer coach
- Ensure learners complete Cognassist, BKSB initial assessments, initiate diagnostics where needed, and are trained appropriately on all learning systems.
- Ensure timely and accurate reporting and processing of enrolment forms on the student record system whilst ensuring all relevant support departments receive and up to date information and specific student needs.
- Support our students proactively in the pre-enrolment stage and their progress throughout their programme induction.
- Ensure all new learners are entered into systems accurately and in a timely manner and compliance is complete
- To ensure enrolment paperwork is completed to a high standard and fully auditable and in line with the ESFA and external governance.
- To ensure/oversee the completion of the Training plan and ensure all parties have signed a copy.
- To communicate effectively with all stakeholders involved in the recruitment process and ensure momentum is maintained as learners prepare for their start of learning.
- To carry out and review Health and Safety checks at client premises
- To create BUD entries to document enrolment and ALS visits and upload learner key documents.
- To keep management information systems up to date in a timely manner including BUD and relevant Google Drive spreadsheets.
- To liaise and lead on communication with the Employer-Client Contact to ensure learners are submitted to the DAS system.
- To be diligent in the inputting/collection, auditing and storage of documentation involved in recruitment and start of learning.
- To be proactive in answering learner and client queries and resolve learner journey issues promptly.
- To communicate effectively with the Central Team, CRPs, and sector leads where required.
- Follow the escalation policy whereby a My Concern may need to be identified during an enrolment.
- Develop and maintain schedules for End-Point assessment in accordance with the requirements of the apprenticeship standard.
- Coordinate with apprentices, employers, assessors, and relevant parties to ensure all necessary arrangements are made for EPA.
- Provide apprentices with guidance and support to prepare for their EPA.
- Maintain accurate records of EPA outcomes, including assessment results, resits and any feedback provided to the apprentice.
- Generate reports on EPA performance and trends to inform continuous improvement efforts and ensure compliance with regulatory requirements.
- Follow up with results and EPA bookings with the relevant End-Point Assessments Organisations.
- Regular updates and reporting of EPA position across each sector.

- Coaching and Mentoring qualification
- Commercial awareness
- Knowledge and understanding of the Apprenticeship Levy, AEB and ALL and its eligibility.
- Experience of working within the training industry

**Training Provided**

The Business Administrator Standard aims to equip individuals with highly transferable knowledge, skills and behaviours that can be applied across many different sectors.

In addition to this, business administrators will develop the necessary behaviours and workplace experience to support their progression towards management responsibilities.

It takes approximately 18 months to complete the apprenticeship and you will receive a blended method of learning including Tutor Coach visits, remote learning and attending online workshops, working towards achieving nationally recognised qualifications in:

- Level 3 Business Administrator Apprenticeship Standard
- Level 2 maths and English (if required)
