**Job Title**: Accounts Administrator

**Responsible to**: General Manager

**Job Purpose**: To provide accounts and administrative support to YMCA Taunton

**Job Type**: Part-time

**Main Responsibilities**:
Using Quickbooks accounting software:

- Process sales ledger transactions including raising invoices against client users and ensuring payment received by due date;
- Monitor aged debtors and liaise with General Manager for action escalation where required;
- Process purchase ledger transactions verifying quantity/price/purchase orders;
- Process payment requests for goods/services verifying against statements;
- Ensure all documentation filed accurately and appropriately;
- Liaise with staff to maintain supplies inventory, placing and expediting orders for supplies; verifying receipt of supplies;
- Distribute and collate timesheets for payroll input via Accountants, check output with General Manager to ensure correct salaries paid by BACS;
- Provide administrative support to Board of Trustees: duties to include organising and servicing Board meetings (10 per year) taking minutes and distributing papers ;
- Ensure documentation and records maintained including Staff Handbook;
- Monitor and maintain policies and procedures, highlighting needs for changes and amendments;
- Liaise with and support all staff and other parties as necessary to ensure office systems operating effectively and facilitate the administrative needs of the Centre;
- Create and revise systems and procedures by analysing operating practices, recordkeeping systems, forms control etc;
- Develop Centre staff’s administrative duties by providing support, information, educational and experiential growth opportunities;
- Contribute to team effort by accomplishing related results as needed; and
- The post holder may be required to undertake additional duties commensurate with this level of post
- Be committed to safeguarding principles and be willing to put the welfare of children and young people at the forefront of your work and to report concerns in accordance with YMCA Taunton’s internal referral arrangements

**Education**:

- Good general education including Maths and English at level 2 or equivalent;
- IT - fully conversant with Microsoft Office; and
- Ideally supported by business administration/accounting qualifications

**Experience**:

- Strong background in office systems and procedures; and
- Experience in accounting/book keeping - QUICKBOOKS

**Personal Attributes**:

- Ability to work accurately, to organise and prioritise workload and to work on own initiative
- Good communicator and team player
- Desire to further the Charitable Aims of the YMCA Taunton
