**THE POSITION**
We have an exciting opportunity for an enthusiastic, efficient, and organised individual to join the school HR team. The role would be ideal for someone with excellent organisational and communication skills. This role will join the HR department, working with the Head of HR and HR Advisor (Safer Recruitment Lead) to provide first level advice, guidance, and support to employees on a range of HR related issues.
**THE SCHOOL**
Thomas Horsley, the original settlor of the Royal Grammar School Newcastle (RGS) pledged his legacy to the School in 1525. Almost 500 years later, RGS continues to flourish as the premier independent school in the North East of England and as one of the country's leading schools, and the Sunday Times’ North East Independent School of the Decade 2020. We regularly lead all northern schools in national league tables and pride ourselves on academic excellence, a high level of pastoral support, involvement in a wide range of sports and other extra-curricular activities, and our commitment to bursaries and partnerships.
RGS has grown substantially in recent years. There are now some 1,340 students, over 260 of whom are in the Junior School. The Sixth Form of approx. 350 students is one of the largest in the independent sector. We became coeducational 20 years ago and girls now comprise 43% of the school.
The school is based in the heart of the City, immediately opposite Jesmond Metro station. The school occupies over 30 acres of land and has state-of-the-art facilities, including five brand new art studios, a new library, a new Sixth Form Centre, a 25m swimming pool, two Sports Halls, a Performing Arts Centre, outdoor football/rugby pitches at Mooracres, an artificial turf pitch for hockey and the former County Cricket Ground.
**MAIN DUTIES AND RESPONSIBILITIES**
Reporting to the Head of HR, the HR Advisor overall responsibilities will include:
- Monitoring the sickness absence process and keeping records up to date
- Provide cover within the HR department when required
**SPECIFIC TASKS**
**Administration / General Duties**
- Accurately maintain manual and computer records and systems as required ensuring compliance with department, school, and legal requirements.
- Input and update personal data on the HR system, ensuring that security and confidentiality of the data is maintained.
- Using templates, assist with the preparation of standard HR letters and communications for flexible working, maternity and paternity leave requests, and other changes to employment terms and conditions etc.
- In conjunction with the Head of HR and Finance Department, support with the preparation and issue annual salary letters to teaching and support staff.
- Support the Head of HR in preparing and submitting accurate payroll data to the Finance department.
- Monitor the probation periods for staff and arrange review dates.
- Plan and co-ordinate appraisal review dates and chase up outstanding appraisals.
- Monitor fixed term contracts, discuss with relevant staff, agents and notify payroll if fixed term arrangements are to end / extend.
- Ensure that training records from staff days are recorded.
- Take accurate minutes and prepare HR documentation for meetings and hearings as requested.
- Compiling HR information re reference requests for staff.
- Assisting in the development and drafting of HR policies job descriptions and procedures and support the ethos of a continuous improvement culture.
- Review and report on equal opportunities and HR data and trends.
- With the Head of HR, ensure that HR policies are regularly reviewed and updated as required.
**Sickness and Absence**
- Track, log and monitor sickness, obtain required paperwork, and advise managers on absence management.
- Complete return to work procedures, meetings, and paperwork as appropriate.
- Review sickness patterns, as appropriate, and prepare and present absence management data and reports as required.Manage the referral process to the school’s occupational health service provider liaising with occupational health and medical professionals regarding employee referrals and follow up action in line with the schools’ policies and procedures.
- Ensure maternity/paternity/adoption leave arrangements are effectively administered and actioned in line with current legislation and in conjunction with Payroll.
**Leavers**
- Arrange for exit interviews to take place, conducting them when required.
- Liaise with Payroll and Head of HR regarding leavers and completion of exit interviews.
- Produce leaver statistics and leaver reports as required.
- Record keeping filing and archiving HR records.
**Other**
- Supporting with the induction process for new staff.
- Provide general absence cover within the HR department, and a willingness to support wider HR projects.
